Overview

Vantaca is scaling its financial services business rapidly, supporting millions of homeowners and processing billions in payments annually.

As Director of Operations & Strategy, you will lead the evolution of our embedded payments and lockbox operations to support 2x+ growth. This role combines strategy and execution - owning and building the systems, processes, and infrastructure required to scale efficiently while maintaining a best-in-class customer experience.

You’ll lead an operations team and partner closely with Product and Engineering to translate operational needs into automation and scalable solutions, helping shape how financial services are delivered across our platform.

This is a hands-on leadership role for someone who enjoys both building and leading, someone who takes ownership, operates with urgency, and is excited to grow into broader responsibility as the business expands.

Responsibilities

Strategic Leadership

  • Develop and execute a scalable operational strategy across payments, lockbox, and implementation functions to support 2x+ growth
  • Build the infrastructure, tools, and processes required to scale while maintaining strong customer experience and NPS
  • Establish and maintain compliance frameworks, internal controls, and risk management protocols

Payments Operations

  • Own performance of payment operations end-to-end, including bank/card payments and lockbox processing
  • Lead implementation and onboarding, including KYC processes and homeowner portal adoption
  • Serve as the operational escalation point, ensuring timely resolution and root-cause fixes for complex issues

Process & Automation

  • Identify manual workflows and drive automation through tooling, system design, and AI where appropriate
  • Implement workflow solutions that improve onboarding speed, reduce errors, and increase operational efficiency
  • Partner with Product and Engineering to translate operational needs into scalable solutions

Metrics & Continuous Improvement

  • Define and track KPIs, SLAs, and dashboards to measure operational performance
  • Build reporting infrastructure that provides visibility into performance and opportunities for improvement
  • Drive continuous improvement across cost, accuracy, and customer experience

Team Leadership

  • Build and lead a high-performing operations team
  • Establish clear ownership, accountability, and performance expectations
  • Coach and develop team members as the organization scales

Requirements

  • 5+ years in operations, BizOps, or strategy roles within a high-growth fintech or vertical SaaS environment; embedded payments experience preferred
  • Experience managing teams, with a track record of building high-performance, process-driven cultures
  • Demonstrated ability to scale operations in a high-growth environment while maintaining quality and compliance
  • Strong process design experience, including documentation, workflow optimization, and cost reduction initiatives
  • Track record of identifying manual processes and implementing automation to improve efficiency
  • Analytical and metrics-driven, with the ability to articulate impact in terms of ROI and performance improvement
  • Self-directed and proactive, able to identify priorities and drive outcomes without a defined playbook
  • Exposure to automation tools, AI workflows, and technical tools (e.g., SQL, internal systems)
