The Senior Operations Specialist is a dynamic and detail-oriented professional who will provide essential operational support for the CFO organization. This role blends project management with executive support, ensuring the seamless execution of strategic initiatives and efficiently managing day-to-day activities for the CFO and the CFO leadership team.

Your Impact

Executive Support for the CFO Organization

  • Calendar Management:
    • Manage the CFO's calendar, including scheduling meetings, coordinating appointments, and resolving conflicts.
    • Proactively anticipate scheduling needs and ensure efficient time management for the CFO.
    • Ensure clear communication of schedules and expectations to necessary parties.
    • Build and maintain a comprehensive dynamic calendar of all meetings, events, and deadlines.
    • Coordinate, prepare, and administer expense reports, process invoices, and manage vendor correspondence.
    • Plan, schedule, and coordinate travel and reimbursements.
  • Event Planning and Logistics:
    • Provide event planning and logistical support for the CFO team at small—to large-scale events (Onsites, All Hands, weekly meetings, 1:1s, etc.). Partner with Facilities, Food & Beverage, and IT to ensure all logistics are prepared (rooms, Zooms, food, etc.).
    • Together with the Finance Leadership Team, manage necessary content and messaging for meetings and related communications.
    • Assist with communication (emails and Slacks) and preparation for pre- and post-events, including survey creation.
    • Coordinate employee recognition, anniversary, and milestone gifts through the Alyce Gifting Solution.


Day-to-Day Operations for the CFO Organization

  • Leadership Team Support:
    • Evolve and own CFO Leadership Team programs and routines.
    • Build and maintain a comprehensive dynamic calendar of all team meetings, events, and deadlines.
    • Ensure clear communication of schedules and expectations to all team members.
    • Continuously assess and refine processes to maximize team alignment, engagement, and adherence to established routines.
    • Partner with FLT and various stakeholders to prepare and draft content for weekly FLT meetings, monthly P2P Review meetings, Quarterly All Hands, and Annual Kickoff.
  • Operational Projects and Initiatives
    • Assist in planning, coordinating, and executing assigned projects from inception to completion. Likely Project Examples:
      • Maintain and update intranet/hub content to ensure accuracy and relevance for the CFO organization.
      • Oversee and support the ongoing Mentor Program within the CFO Org.
      • Work with AppFolio’s Engagement Team and support ongoing project requests.
    • Monitor project timelines, milestones, and deliverables.
    • Identify potential risks and issues, develop mitigation strategies, and escalate concerns as needed.
    • Maintain accurate project documentation, including plans, reports, and meeting minutes.
    • Prepare and present regular status reports to management and stakeholders, leveraging strong presentation skills in both Google Slides and PowerPoint.
    • Serve as the primary point of contact for program-related inquiries, facilitating communication between project stakeholders, team members, and other departments.
  • OKR Management:
    • Support the annual process of setting Objectives and Key Results (OKRs) for the CFO organization.
    • Track OKR progress on an ongoing basis, guiding the leadership team toward the successful achievement of milestones.
    • Report on OKR status and provide insights for continuous improvement, utilizing Excel and Google Sheets for data analysis and reporting.
    • Partner with the CFO Org Leadership Team to assist in preparing key status updates for key forums (Leadership Team meetings, All Hands, quarterly reviews, etc.).


Qualifications

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • 3-4+ years of experience in project coordination or a similar role.
  • Strong organizational, multitasking, and time management skills.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Demonstrated ability to effectively prioritize tasks and manage competing demands in a fast-paced environment.
  • Ability to work independently and collaboratively as part of a team.
  • Meticulous attention to detail and exceptional problem-solving abilities.
  • Proven ability to maintain confidentiality and exercise discretion.
  • Proficiency in key software applications such as Google Suite (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint).


Preferred Qualifications

  • Experience in the Real Estate or SaaS Technology sector.
  • Knowledge of NetSuite.
  • Knowledge of Expense and Travel solutions such as Expensify, Navan, Concur, etc.


Compensation & Benefits

The base salary/hourly wage that we reasonably expect to pay for this role is: $72,000 - $80,000

The actual base salary/hourly wage for this role will be determined by a variety of factors, including but not limited to: the candidate’s skills, education, experience, etc.

Please note that base pay is one important aspect of a compelling Total Rewards package. The base pay range indicated here does not include any additional benefits or bonuses/commissions that you may be eligible for based on your role and/or employment type.
