Job Title: Site Manager

Location: Islander on the Beach AOAO

Reports To: Board of Directors

Works Closely With: Managing Agent

Direct Reports: 2 Maintenance Technicians

Position Summary:

Islander on the Beach AOAO is seeking a qualified Site Manager to oversee the day-to-day operations of the property. This role involves managing contracted vendors, supervising on-site staff, conducting daily property inspections, enforcing house rules, responding to resident inquiries, and adhering to the association’s budget. The Site Manager will foster a team-oriented environment, maintain outstanding service standards, and ensure effective communication with all stakeholders.

Job Duties:

Oversee Contracted Vendors and On-Site Staff:

 Supervise and direct the daily duties of maintenance technicians. 
 Ensure tasks are documented and completed to property and County standards. 
 Work with contracted vendors and solicit bids for work. 
 Coordinate with owners and property managers for monthly pest control and routine maintenance. 

Property Inspections and Maintenance:

 Conduct daily property inspections and assess needs. 
 Prioritize projects and work with the Board of Directors to complete them. 
 Perform minor repairs and use power tools/equipment as needed. 
 Regularly walk the property to monitor conditions and maintenance needs. 

Communication and Community Relations:

 Foster a positive team environment with homeowners, residents, guests, the Board of Directors, and service vendors. 
 Maintain outstanding service standards that consistently address homeowner needs. 
 Communicate in a positive, cordial, and business-like manner, both in written and verbal form. 
 Attend Monthly Board Meetings. 
 Use MailChimp to communicate with members via a monthly newsletter and provide updates on projects and maintenance. 

Administrative Tasks:

 Maintain day-to-day operations of the association. 
 Monitor and answer office telephone or cell phone; return voice messages within 24 hours. 
 Respond to email messages within 24 hours. 
 Perform miscellaneous office tasks such as scanning documents, filing, copying, etc. 
 Maintain the Owner List and Arrival Report. 
 Place orders for supplies and ensure proper inventory management. 
 Prepare monthly invoice for metered utilities for Lobby and Shops

Covenant Enforcement:

 Administer the Association’s House Rules and Board Approved policies. 
 Conduct physical inspections of the community and monitor for covenant or rules violations. 
 Enter data and maintain computerized reports of violations. 
 Send notices to owners regarding violations and maintain current status of violations. 
 Assist with contracted covenant enforcement inspections of all units/lots, common areas, and amenities.

 Comfortable with a broad range of responsibilities and tasks. 
 Ability to work independently and without supervision. 
 Highly developed organizational and project management skills with outstanding attention to detail. 
 Strong communication skills, with the ability to effectively interact with owners, many of whom live outside Hawaii. 
 Strong interpersonal skills, with the ability to work collaboratively and maintain composure under pressure. 
 Knowledge of Association documents and committee structures. 
 Basic knowledge of property/building functions. 
 Ability to perform minor repairs and use power tools/equipment. 
 Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, and MS Word). 
 Valid motor vehicle operator’s license and ability to safely operate a vehicle.
