Summary: The Senior Community Association Manager is responsible for overseeing New Communities managed by The New Development Team. The Senior Community Association Manager manages and assists in special projects and ensures success in all the Community Association Managers they are designated to. The Senior Community Association Manager is to primarily obtain knowledge in company policies and procedures, have a strong understanding of budgets and finances, and the ability to deliver client satisfaction with Developers and Homeowners ensuring account retention at turnover to Portfolio.

Essential Job Duties and Responsibilities:

  • Partner with association Developer Client, Board of Directors and internal departments to adhere to the introduction and integration of new programs, services, and initiatives. Act as liaison to ensure quality service is delivered, that Board and new owner expectations are met and assist with prompt response and resolution to questions/problems.
  • Establish and maintain a positive relationship with homeowners, Board of Directors, and internal departments to ensure a high level of customer service and achievement of company and property goals and objectives.
  • Maintain knowledge and understanding of contract between the association, vendors, and Keystone. Ensure all contractual obligations are being met with the associations managed. Monitor vendor contracts regularly. Ensure monthly vendor meetings take place for successful vendor management of each community.
  • Provide information and resources to the New Development Developer/Homeowner Liaison necessary for providing an outstanding customer experience.
  • Conduct on-site inspections as required. Identify deficiencies and provide recommendations and action plans to improve the property. Process and manage violations and work orders regularly.
  • Willingness to manage and assist in special projects. Oversee any assigned projects and ensure property maintenance/improvement and other related issues are completed in a timely manner. Maintain open communication and provide timely action updates in CINC for the Board and to residents as required.
  • Attend Kick off meetings for new development properties and prepare governing documents to the Developer Client on the deadline provided.
  • Coordinate with the New Development Developer/Homeowner Liaison to schedule turnover walks/inspections and see turnovers through to completion.
  • Prepare Request for Proposal for bid solicitation and prepare/provide bid comparison analysis and Organizational Resolutions.
  • Update association communications and ensure current information is displayed on the association bulletin boards, website and/or portal. Prepare association newsletter and/or other communication with owners and residents as required. Prepare board packets and mail-outs electronically.
  • Maintain accurate records, files, and communications pertinent to the Association and Keystone.
  • Manage internal special projects as assigned. Assist with training and development of less experienced staff.
  • Oversee any assigned projects and ensure property maintenance/improvement and other related issues are completed in a timely manner. Maintain open communication and provide updates to the Board and residents as required.
  • Manage all operations for a portfolio of community associations.
  • Demonstrate consistency in all areas.
  • Provide leadership and consulting with our clients on best practices regarding the management and oversight of their community.
  • Manage and run monthly, bimonthly, quarterly, and annual Board Meetings.
  • Create budgets and manage financials.
  • Compliant with company policies and procedures.
  • Partner with association Board of Directors and internal departments to adhere to the introduction and integration of new programs, services, and initiatives.
  • Participates in management training.
  • Provide exceptional support to meet or exceed expectations of a high-volume, high-demand, tailored services as needed for client base with complex operations and/or a variety of high-end amenities.
  • Maintain strong knowledge of industry trends.
  • Participate in emergency phone and in-house coverage schedule.
  • Follows all Human Resources policies. Attends/participates in all required training and mandatory meetings.

  • Any additional job duties as required by supervisor.

 

Qualification Requirements:

  • Must have a valid Driver’s License and maintain a clean MVR.
  • Must have reliable transportation and the ability to drive to and from communities
  • Demonstrate effective oral and written communication and listening skills.
  • Exhibit professionalism and calm demeanor.
  • Demonstrated problem solving abilities.
  • Comprehensive industry knowledge.

 

Education and/or Experience:

  • High School Diploma or GED required.
  • Bachelor’s Degree preferred.
  • 2 to 4 years working in a Community Association Management role.
  • CMCA designation required.
