Description

 

The Mystic at Lake Pleasant Heights HOA community is located in a natural setting in north Peoria, AZ. The Community has been designed to take advantage of what nature has created with mountain and ridgeline views along with the preservation of major wash corridors providing homeowners with a unique desert living experience. The community has been planned with open recreational areas including hiking, biking and strolling paths as well as amenities like the Mystic Clubhouse and other park facilities.

 

Primarily responsible for answering the phone lines, providing administrative support for staff and management, managing the front entrance and maintaining the front desk, cleaning/sanitizing work area and facilities as needed, and utilizing excellent customer service skills while greeting visitors and homeowners via phone and face-to-face.

 

Position Responsibilities

 

  • Provides direct front desk/receptionist support to all on-site property needs by providing the highest quality customer service to inbound callers, visitors and vendors.
  • Partners with Administrative Support team and the On-site Community Manager to effectively manage Clubhouse operations and inbound calls as well as assist with various administrative projects.
  • Filters inbound calls to determine appropriate direction.
  • Helps set up new resident profiles and access abilities in the Clubhouse system.
  • Greets all visitors/homeowners and determines their immediate needs.
  • Monitors pickups/deliveries.
  • Assist with event set up and break down as needed.
  • Cleaning/sanitizing work area and facilities as needed.
  • Performs other related duties as directed.

  • Ability to elicit information from callers and visitors in a professional and efficient manner.
  • Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.

  • Ability to function efficiently in a high volume, fast-paced environment.
  • Ability to proficiently utilize computer programs and company database systems, including MS Office (Excel, Word and Outlook), internet and e-mail systems.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.

 

Physical Demands & Work Environment

 

  • Sitting at workstation utilizing a computer in an office setting.
  • Walking throughout property/facilities as needed.
  • Setting up, taking down and stacking tables and chairs.
