Condominium Associates began managing condominium and homeowner associations in the Tampa Bay area in 1982 and presently have offices in Pasco, Pinellas and Hillsborough counties. We are a full-service association management company providing services in the areas of facilities management, financial management and administration.

The Regional Director is responsible for leading and providing support for association managers, developing, implementing, and maintaining management strategies in alignment with the company’s goals and core values; managing a fiscal budget; and developing new business within their geographic area of responsibility.

  • Property Management
  • Ability to manage all types of properties within Condominium Associates book of business.
  • Develops and maintains strong professional relationships with Association Managers and Board members that are company centric.
  • Understands our contractual agreements with our clients and the expected services to discern the effectiveness of the association manager and facilitate appropriate discussions with the association board.
  • Ability to discern when to advise the client to utilize the Association Attorney for interpreting documents when the documents are not clear and concise and, at the client’s direction, when to involve Attorney in matters in which legal counsel will be needed.
  • Acquire and maintain a full working knowledge of all applicable State and Federal Regulation pertaining to common interest communities and of the governing documents of each assigned Association.
  • Anticipate needs of the association and of the management company to lead, develop, implement, and measure a strategic plan. This may include, but is not limited to, long-range planning models, phased maintenance plans, and long-term budgets
  • Set a schedule to attend Board and Membership meetings on a regular basis. If necessary, assist the LCAM’s with annual meetings and oversee the annual election of Board members.

 

Fiscal Management:

  • Ability to comprehend, analyze, and execute management strategies through monthly financial reporting specific to the segment of business being managed and relative to the entire business.
  • Able to prepare an annual fiscal budget for the specific business segment manage the P & L to track variances to determine if the budget needs to be modified due to managerial, company, and/or other factors which may arise throughout the year.
  • Ability to identify and visualize the underlying day-to-day fundamentals driving the quantitative information on the financial report.
  • Ability to construct a forecast model based on past and present data to appropriately justify business decisions that impact the culture, revenue, and net performance of the specific business segment and identify the impacts on the entire business.
  • Ability to distill large amounts of data into a simple format which correlates directly to observable actions and quantifiable outcomes.
  • Demonstrates a high level of attention to detail and an unwavering principle to the value of any amount.
  • Identify, track, grow, and report the association’s additional services that result in additional billing.
  • Business Development

GENERAL RESPONSIBILITIES AND DUTIES:

 

Supervisory:

  • Responsible for training, coaching, supervising and developing all licensed manager personnel.
  • Conduct staff meetings as needed to inform employees of policies, procedures or scheduled events.
  • Evaluate job performance of employees no less than annually and recommend compensation adjustments to the Board. Provide Area VP and Human Resources a copy of the job performances for the personnel file.
  • Approve employee’s vacation request ensuring the association has adequate coverage.
  • Provide payroll timesheets to the designated payroll person in the corporate office for all employees on Thursday of each pay week. (The date payroll is due may change due to holidays.)
  • Coach and assist LCAM’s with committee notices and correspondence.
  • Conduct regularly scheduled site visits with the LCAM and one-to-one meetings.

Administrative, Operations, and Fiscal:

  • Ensure LCAMs produce accurate weekly, monthly, quarterly, and annual reports to include year-end financial reporting requirements.
  • Work with Operations department to ensure the mailing of meeting notices is in accordance with Florida Statutes and the Association’s governing documents.
  • Monitor to ensure LCAM’s provide Weekly Reports to the Board of Directors and/or Committees, regarding the status and any outstanding items that may require Board direction or action to be taken.
  • Monitor LCAM in Monitoring and maintaining the Association webpage so that all information on the webpage is current.
  • Respond to unit owner inquiries and assist unit owners as deemed appropriate in a professional and timely manner if necessary and when escalated above a manager.
  • Assist, document, and verify that managers furnish the association with valid copies of worker’s compensation, liability insurance coverage, and executed written contract, proof of permit, if necessary, for any contractor prior to engaging it to perform work for any property managed by the management company. Request insurance summary from Insurance Agent and provide to Board.
  • Monitor and document all matters involved with the placement and renewal of insurance as authorized by the Board. Submits claims to the insurance companies when necessary.
  • Monitor and document contract summary and notify the association of upcoming contract renewals and assist the board in contract negotiations.
  • Monitor and document upkeep of residential files and association records, legal documents, property deeds, construction plans, member rosters, contracts, annual reports, meeting minutes, and all other relevant records.
  • Monitor and document that managers review, approve and code all invoices for payment by the management company’s accounting department.
  • Ensure that associations “info sheet” and that current information is uploaded to the webpage and ensure that association records are maintained on the server and not on the manager’s desktop.
  • Coordinate legal matters with the Association’s attorney as authorized by the Board.
  • Monitor and document that an onsite Manager manages the Association office to include proper organization of files and records and proper operation of office equipment. Approve all purchases of office and maintenance supplies if applicable.
  • Attend all management company training classes, meetings, and seminars as requested.

 

Requirements

  • High School Diploma or GED; College Degree preferred

Schedule:

  • This position will work in an office setting 50% and in the field 50% or as needed.
  • Ability to work a minimum of 40 hours a week which may include evenings and weekends. There are two 10-minute breaks and one 30-minute lunch break per 8-hour shift.
