Job Summary

 

This position serves residents by providing information and services. Self-motivated; outgoing; detail oriented; customer service and customer focused individual with excellent interpersonal, communication, and organizational skills including e-mailing, identifying and organizing resources to provide personal service expected by residents. This position integrates with the Concierge at the Front Desk and assist management in ensuring that building operations are functioning in a consistent and effective manner.

 

This position has exclusive responsibilities for meeting, greeting, and registering contractors, as well as maintaining a cohesive flow of operations about the property. Maintains daily logs, records, and forms. They must be able to understand and react to emergency situations.

 

Essential Duties & Responsibilities

 

  • Demonstrates excellent customer service, communication, and time management skills.
  • Responds to emergency situations in a timely manner.
  • Identifies and clarifies residents, visitors and contractor needs and desires; answers questions; gives directions and instructions; develops inventories of services.
  • Monitors security cameras via a remote device and reports security issues immediately to management and/or appropriate personnel.
  • Manages and screens messages.
  • Accurately maintains daily logs, records and forms.
  • Maintains a smooth operational environment throughout the building/property.
  • Follows safety procedures and maintains a safe work environment.
  • Helps residents establish accounts and schedules access for authorized vendors to provide services within units.
  • Maintains guest privacy and organization reputation by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities, maintaining personal networks.
  • Enhances department and organizational reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Follows safety procedures and maintains a safe work environment.
  • Good and prompt verbal and written communication.
  • Monitor pool and pool decks, Rec Rooms and all common areas.
  • Other duties as required.

 

Additional Duties & Responsibilities

 

  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all FirstService Residential and property specific policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

Education & Experience

 

  • High school diploma or equivalency
  • Hospitality and/or Security industry experience recommended.

 

Knowledge, Skills & Proficiencies

 

  • Excellent customer service skills.
  • Strong organization, motivation, and interpersonal skills.
  • Critical thinking, problem solving, judgment and decision making abilities.
  • Strong verbal and written communication skills. Fluent in multiple languages is highly preferred.
  • Proficient in spoken and written English language.
  • Detail oriented and strong organizational and multi-tasking skills. Ability to adapt to different situations and environments.
  • Ability to respond to emergencies and callouts in a timely manner.
  • Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel and Outlook. Proficiency researching the Internet.
  • Ability to work in a team environment as well as independently and be self-driven.
  • Must have reliable form of transportation.

 

Tools & Equipment Used

 

  • Computer and peripherals, standard and customized software applications and tools, and usual office equipment.
  • Hand / luggage carts to move packages around.

 

Dress and Appearance

 

  • White button down shirt and black slacks. Black tie or vest when appropriate may be worn. During cool months, a solid black dress jacket or Association provided jacket may be worn. Association may ask for assistance with purchase if needed. If FirstService Residential provides shirt with logo it must be worn.
  • Must present a professional, neat, and clean appearance while at work.
  • Clothing must be clean and of proper fit, non-revealing, wrinkle-free, and in good repair.
  • Extremes in dress, distractive clothing and body piercing are prohibited. Jewelry, spacers, retainers, or plugs are not permitted in any body piercing, including non-visible piercings, while working.
  • Black or dark shoes in good condition.
  • Regular bathing, free of offensive body odor, clean and neat hair are required. The use of strong, heavy scents and fragrances is not permitted.
  • Hair must be business professional.
  • Tattoos must be discreetly and completely covered at all times.
  • Hats are prohibited unless there is a purpose or special event.

 

Physical Requirements/Working Environment

 

This position works under usual indoor and outdoor conditions with occasional duties to walk about the garage and perimeter of the property. The associate is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit and walk for extended periods and occasionally climb. Must be able to handle, use fingers, grasp and lift objects and packages and reach with hands and arms. The incumbent must be able to quickly and easily navigate the property/building as required to meet the job functions and work extended and flexible hours and weekends as needed. This is a 24/7 hour operation, expected to work holidays during scheduled hours. Physical demands include ability to lift up to 50 lbs.
