Job Description
Associa is looking for a Creative Proposal Manager to join our growing Marketing team. This role is part of the design team and works closely with our Sales and Branch Ops teams to manage RFP proposal processes. The primary responsibility is ensuring proposal deadlines are met with accurate, professional, appropriately-branded deliverables to our network of branch clients. The secondary responsibility is assisting the design team by editing and creating other projects as assigned.
PRIMARY PROPOSAL RESPONSIBILITIES:
Monitor proposal queue daily in Salesforce.Note: we manage two types of proposal requests, Standards and Customs; RFPs are Customs that include a questionnaire or Q & A section.
Standard proposals are managed via a proposal tool; responsibilities include:
Management and maintenance of the proposal tool including creating client workspaces, managing access permissions, and maintaining the content libraries, templates, and workflows within it
Photo editing, designing new content pages and/or updating and refreshing page/section designs as requested/needed
Providing guidance, answering questions and occasionally providing training on proposal tool
Pulling analytics/reporting within the tool and sharing with appropriate stakeholders
Working with 3rdparty vendor to troubleshoot and/or expand functionality of proposal tool as needed;Note: training and support of tool will be provided by 3rdparty vendor, but experience with Adobe InDesign will be extremely helpful
RFP process, management and development of custom proposals. These average 2-4 per week, and can range from 40 – 200 pages.Note: Custom proposals include the standard proposal information, RFP responses, and appendix content provided by the client.
Review RFPs for specific requirements, instructions, and deadlines; establish information and content needed; communicate with the Sales/Ops project team and other contributors while monitoring deadlines
Collaborate with Sales and Ops to provide guidance on responses, as well as the organization and flow of information within the proposal
Assist with design layout, photo editing, and maintenance of custom proposal templates
Apply edits, review, approve and post a final proposal to Salesforce for project completion
Additional responsibilities include:
Communicate and report on project SLA expectations and execution
Ability to create, proof and/or refine proposal text as needed; experience in persuasive writing is a plus
Assisting with non-proposal design projects such as fliers, postcards, email creation, etc. as needed

Education And Experience
5+ years of relevant corporate or agency experience
Bachelor's degree in marketing, communications, design or equivalent field
Tools & Systems: Pandadoc, Adobe InDesign, Adobe Photoshop, Grammarly, Asana, or equivalent knowledge preferred
Microsoft Office: Word, Excel, PowerPoint, Outlook
