Job Description

The Property Assistant supports the Portfolio Manager and other site staff to provide seamless customer service to the residents and board members.

 

Essential functions:

 

  • Draft communications and documents for management, residents, and board members.
  • Manages ongoing, and incoming communications.
  • Maintains condominium documents, contracts, regulations, phasing, violations, and all related correspondence to owners, and Portfolio Manager.
  • Provides administrative and customer support to Property Manager including coordination of monthly meetings, facilitating maintenance requests, scheduling appointments, and unit owner requests.
  • Provides administrative support to residents during the sale and/or refinancing of unit(s) and modification requests/approvals.
  • Database management for the property.
  • Maintains office hours as directed by Portfolio Manager.
  • Other duties as assigned.

 

Requirements

 

  • Background, Skills, and Abilities
  • Similar experience in a fast-paced environment.
  • Take leadership role in absence of Portfolio Manager.
  • Two-year degree preferred.
  • Strong communication skills (both written and oral)
  • High levels of attention to detail, initiative, accountability, and adaptability.
  • Must be able to meet deadlines and multi-task.
  • Must be able to build strong relationships at all levels: team members, site staff, residents, and board members.
  • Strong Microsoft Office skills and experience in property management databases would be a plus.
  • The candidate must be able to work independently and as a Team member of the site staff team, take direction from the supervisor, and understand and commit to the mission. Previous experience is preferred, but not required.
  • Must be able to pass a drug test
