Job Description
Responsible for managing portfolio of residential properties in an efficient and value enhancing manner that is consistent with the overall strategic plan for each property, facility or complex in accordance with Halstead procedures . Accountable for all business, financial, and management aspects of the assigned properties including preparing, implementing and adhering to the approved strategic plan, a budget for the property, developing and maintaining strong working relationships with tenants/occupants and board members and supervising the day to day activities of the financials, engineering, maintenance and other building staff as well as contract services. Will be responsible for directly supervising a variety of staff which may include building, administration, engineering, operations, maintenance and finance/accounting, even if prepared by other internal departments at Halstead.
Provides first-class customer service to assigned clients while promoting relations among residents, staff, and surrounding community.
Oversees the financial operations (including reports provided by all other Halstead departments) of assigned properties to realize the expected short term revenues and increase the long term value.
Maintains accurate financial records from property operations to provide cost expense reporting.
Maintains a working knowledge of all maintenance programs and capital improvement projects to ensure the proper and efficient operation of systems, preventive maintenance programs, housekeeping functions and responses to resident service requests. Ensures compliance with and sets quality standards. Visits each property weekly and reports to senior staff and the President. Reviews in detail the physical properties curb appeal , common areas, vacant apartments, and notes any deferred maintenance items for subsequent follow-up.
Maintains courteous and continuous communication with all stakeholders in a respectful and professional manner.
Communicates with stakeholders regarding questions and concerns and takes steps to resolve issues or refers them to appropriate associates. Responds to all residents in a courteous and prompt manner, prepares correspondence to residents and maintains accurate conversation records.
Meets and/or contacts residents as necessary to handle complaints and requests for repairs and ensure that they are properly provided.
Enforces the provisions of sale contracts and Board requirements.
Provides supervision, coaching, and feedback to all on-site building staff.
Effectively supervises Halstead administrative staff including but not limited to training, appropriate task delegation, tracking and handling all attendance-related needs, motivation, and following up. Creates written reports to document performance.
Provides input and solicits feedback from clients concerning building staff performance and involves corporate Human Resources, if necessary, on cases involving disciplinary issues and terminations. Resolves building staff issues.
Regularly inspect the grounds , facilities , and equipment of assigned properties to ensure safety and excellent maintenance.
Comply with and enforce all Company regulations and procedures as well as all applicable legislative provisions.

Immediately responds to emergency situations upon notification and ensures full compliance with all state and local laws and Company procedures (best practice and Company protocol).

Requirements
Must possess a high degree of proficiency with MS Office suite, PDF Converter, and Outlook, MRI/Yardi, Building Link, Jack Jaffa or similar, Avid, Certrax, any etc.
Professional and courteous demeanor with exceptional communication, presentation, customer service and interpersonal skills required.
Ability to professionally and effectively interact with building residents and board members is required.
Must be able to onboard, train, and manage others successfully, as well as create a collaborative environment between the sales offices and other departments, including HR, IT, Marketing, Accounting, etc.
Must be able to maintain the highest level of confidentiality and handle sensitive material concerning the organization.
Strong organizational/time management skills required. Ability to handle multiple tasks simultaneously and meet designated deadlines.
Understands the larger business context; plans and forecasts accordingly.
Highly accurate and detail oriented, with excellent follow through
A Bachelor’s degree required (educational requirements can be waived with commensurate experience when disclosed).
5-10 years’ experience managing a portfolio of residential properties with multiple units plus supervisory experience in a residential property management position required.
Must have a knowledge and experience with financial accounting in residential real estate, financial reporting, and budgeting. Must present writing samples.
Excellent working knowledge of Microsoft Office applications required, including Word, Excel, Outlook, PowerPoint, etc. Working knowledge of MRI preferred.
Excellent understanding of technical facility skills (HVAC, mechanical, electrical and plumbing, etc.)
Service-oriented and possesses the ability to work with and understand problems and attitudes of clients and staff.Knowledge of the budgetary process as it relates to operating and capital expenditure budget.
Ability to communicate effectively, both verbally and in writing .
