Job Description


We are seeking a Property Administrator / Assistant Property Manager in Property Management Field to become a part of our team! You will help facilitate the running of townhouses, condominiums and cooperatives in North Jersey.

Responsibilities:

  • Primary person to answer and assist with phone calls to the office
  • Assist Property Managers with incorporating technology into their routine
  • Managing Property Manager's meeting schedule (Board elections, fire inspections, dryer vent clean outs etc).
  • Oversee and coordinate all property communications (heavy emails / heavy phone calls / draft memorandums)
  • Onboard new residents for community associations (parking stickers / welcome packets / move in dates)
  • Scanning invoices for processing and filing documents
  • Provide assistance to residents involving billing and HOA payment issues
  • Draft and distribute notices / violation letters for communities
  • Investigate and resolve owner's maintenance issues (leaks, landscaping issues etc.)
  • Ensure all work orders and repair requests are processed in a timely fashion
  • Maintain Association document files
  • Occasionally driving to properties to post memos, or driving to post office, etc.
  • Help with software upgrade to new property management software
  • *NOTE - not looking for real estate agents

Qualifications:

  • Previous office experience
  • Very strong computer skills (Word, Excel, PDF, Outlook)
  • Fast typing skills
  • Ability to multitask and prioritize
  • Excellent written and verbal communication skills
  • Experience with Vantaca Property Management software, a plus

Hours 9-5PM with 1 hour paid lunch. Medical Insurance Offered.
