Job Description
Position: Property Accountant
Reports to: Assistant Controller
Location: Irvine, CA (In Office and Hybrid Work Available)
JOB SUMMARY: MarWest Commercial, a division of FirstService Residential, is actively looking for a Property Accountant to join the Accounting team.
The position requires an individual who is ambitious, self-directed, and capable of working autonomously or with the broader team to achieve the business and financial goals of the company.
Accounts Receivable
- Set up recurring charges based on annual budget.
- Review billing discrepancies with Jr. Property Accountant.
- Issue credits and miscellaneous charges, per Property Manager’s instructions.
- Review late charges according to the Association’s approved billing and collection policy.
- Oversee the monthly charge process & review discrepancies with statement verification.
- Verify and post payments received at the lockbox facility.
- Assist owners with online payment registration and ClickPay inquiries.
- Process and refund TI deposits, per Property Manager’s instructions.
- Enter new owner information. Send out Welcome Package, complete escrow demand per request from escrow office. Obtain recorded grand deed (if not sent with escrow checks).
- Process owners sent to collections – charge legal fees to owners’ accounts and remit legal deposits. Track payment arrangements per Property Manager’s approval.
- Answer owner inquiries regarding billing questions and account information.
- Communicate with bank staff to resolve issues with payment allocation and ACH.
Accounts Payable
- Review, batch and post invoices entered by Jr. Property Accountant.
- Pay invoices/bills on a weekly basis, based on payment eligibility.
- Answer vendor inquiries regarding invoice payment status.
- Review invoices in AvidXchange inbox for processing.
- Report cash flow issues to Property Manager.
- Resolve escalated vendor/payment issues.
- Oversee reserve expenditures and make necessary transfers.
- Complete monthly ACH transfer for management fees.
Financial Reporting
- Enter annual budget at the beginning of each fiscal year.
- Send out New Budget Packets to each owner.
- Initiate monthly reserve transfers and record Journal Entries.
- Report excess operating funds.
- Complete budget variance reports at each quarter end.
- Send out financial package to Board/owners within 30 days of quarter ending.
- Review GLs for accuracy and track deposits reported on the Balance Sheet.
Administrative Duties
- Set up new Associations in Jenark system.
- Open bank (operating and reserve) accounts
- Transfer utilities from developer/previous management company (takeovers). Close accounts and gather necessary documents for Associations that will become inactive.
- Coordinate Statement of Information filings with Compliance Team.
- Coordinate with the Property Manager to obtain necessary documents from developer/previous management company.
- Distribute new account information to the Controller and Corporate Accounting.
Other Job Requirements
- Strong interpersonal and organizational skills with the ability to manage multiple priorities
- Knowledge of Microsoft Outlook, Word, and Excel (Vlookup & Pivot Tables are a plus)
- Excellent accuracy and attention to detail
- Organized and excellent multi-tasking skills

Education & Experience
- Bachelor’s degree in Business, Finance, Accounting or a minimum of 1-2 years’ experience in a technical accounting role
- Must possess strong written and verbal communication skills, including exceptional telephone management and the ability to write emails
- Self-starter, action oriented, quick learner, able to multitask, highly organized, excellent attention to detail, customer focused,
- Excellent time management skills

- Valid California Driver’s License and State mandated vehicle insurance, and registration.
This is a full time position with typical scheduled hours, Monday through Friday, 8:00 a.m. – 5:00 p.m. May be required to work overtime as needed and approved by supervisor.
