Job Description

 

SUMMARY:

 

The Architectural Administrator is responsible for coordinating all facets of the lot development process among the Architectural Review Committee (ARC) ,the General Manager, lot owners and their construction and design professionals. This includes field inspection and oversight of construction in progress.

 

This is a part-time position, approx. 30 hours a week.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  • Prepare for and attend all ARC meetings.
  • Prepare ARC meeting agenda and required submittal documents for review.
  • Adhere to submittal deadlines and disseminate plans to review consultants for upcoming meetings.
  • Take notes and prepare minutes for ARC meeting.
  • Review Plans for compliance with ARC guidelines. This includes working with Design Review Consultants and ARC to help lot owners and their representatives understand criteria and areas of design.
  • Provide development information including application, Guidelines, Contractor’s Manual,and price list to lot owners and/or their designated professionals.
  • Function as the central point of contact for ARC, Design Review Consultants, lot owners and their designated professionals.
  • Ensure the smooth and efficient operation of the design review and construction administration process. This includes effective coordination of applications, plans, deposit and fee payments, pre-construction requirements, construction requirements, site inspections, compliance, notices, progress approvals and enforcement of construction rules and regulations.
  • Maintain on-site files for long-term retention of ARC documents and construction plans.
  • Manage the financial aspects of the design review and construction process. This includes collection of fees and deposits, identifying deficiencies and/or delinquencies and reporting them to the General Manager for action, recommending clean-up costs that must be performed by the HOA and tracking the status of these items as applicable to each site.
  • Conduct site visits as necessary to properly understand design constraints.
  • Perform construction inspections on a regular basis to ensure compliance with approved plans and specifications.
  • Schedule formal inspections per Cielo policy and regulations and ensure there is approval and sign-off.
  • Send Compliance Inspections and associated notices to lot owners.
  • Perform other related duties as determined by the General Manager.
  • Must work effectively with co-workers, customers, volunteers, vendors and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, title or other respectful identifier, and; respecting the diversity of our workforce in actions, words and deeds.

 

Requirements

 

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

  • Ability to read and understand CCR’s and construction plans.
  • Excellent organizational and communication skills, including both written and verbal skills
  • Detail oriented with good follow through
  • Strong time management skills
  • Ability to work with people from diverse backgrounds
  • Must have reliable transportation and valid driver’s license and state mandated vehicle insurance in order to drive through the community and to meetings as necessary.
