Job Description

The Project Coordinator will be responsible for providing overall support to the Project Management Office (PMO) and its Project Managers. The Project Coordinator will work under the supervision of the Project Manager to ensure project documentation is complete and in alignment with PMO documentation expectations. The Project Coordinator will liaise with the Home Office teams, including but not limited to, Marketing, Sales, IT, HR, Legal, Accounting, and Training, along with Branch and Shared Services Center Operations teams. They will be involved in multiple continuous improvement projects, impacting different Associa teams and stakeholders. The role reports directly to the Vice President of Project Management & Acquisitions.

Job Duties And Responsibilities

Duties include, but are not limited to:

  • Assisting in the creation of project plans and developing detailed project schedules and timelines
  • Assisting Project Manager with maintaining comprehensive project documentations, plans, and reports.
  • Developing in-depth understanding of project scope and particulars, i.e., timeframes, financials, outcomes.
  • Identifying and managing potential risks and liabilities of multiple projects
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Work with project teams and the Project Manager in leading the execution of key deliverables and rallying teams toward timely milestone completion
  • Assisting the Project Manager with the administration of general meetings, setting and driving agendas, and deliverable tracking & governance
  • Assisting the Project Manager with identification of revised scope requests/enhancements and proper change control management
  • Organizing and scheduling meetings
  • Facilitating internal communication with the project team.
  • Providing administrative support as needed.

Requirements

Education and Experience

  • Bachelor’s degree from an accredited college/university in Computer Science, Business, Engineering, or related field preferred
  • Minimum 3+ years of full life cycle project management experience strongly preferred

Knowledge And Skills

  • Intermediate level of proficiency with Microsoft 365 products
  • General knowledge of Smartsheet, or similar project management software
  • Understanding of software development lifecycles (i.e. Agile, SCRUM, Waterfall, Iterative)
  • Strong project management skills and understanding of best practices for change management
  • Strong ability to lead initiatives and utilize work experience to make decisions on a project with minimal guidance
  • Strong system implementation knowledge and/or experience
  • Ability to organize work effectively and efficiently, along with effective time management skills and the ability to work under pressure
  • Comfort with ambiguity, frequent change, or unpredictability
  • Strong analytical and problem-solving skills
  • Ability to professionally communicate both internally and externally with individuals at all levels of an organization, including senior leadership, as well as one-on-one and group situations
  • Ability to make sound business and management decisions to achieve the company's objectives
  • Display commitment to continuous improvement of business, customer, and team member environments
  • Exceptional customer service and collaboration skills
  • Exceptional written and verbal communication skills
  • Strong level of professionalism, executive presence, and credibility; able to effectively challenge and influence peers and customers
