Summary/Objective

Under general direction from the Controller and HR Director, the payroll manager oversees payroll administration. The payroll manager is responsible for monitoring all tasks necessary to accomplish the organization’s payroll processing objectives, including relationships with external auditors and state and federal agencies. Most of the the employee’s time is spent planning, coordinating and managing the functions of the payroll department. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations

Duties and Essential Functions

  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Stays current on the updates made by the HRIS to achieve best practices and best use of software.
  • Facilitates management and employee understanding of payroll procedures.
  • Reviews the timecard exception report to ensure employees are paid accurately and on time. Follow up with managers to correct exceptions. If there are frequent offenders inform the DM and VP of the property.
  • Conduct payroll trainings for managers and supervisors on monthly, and, on an as-needed basis.
  • Point of contact for payroll and billing inquiries. Administrator of the company’s HRIS; UltiPro.
  • Oversee the administration of the company’s 401k account to ensure the company is complaint per state and federal regulations.
  • Manage the 401k account; biweekly; upload the company’s payroll to the ADP website, review and approve necessary requests through ADP’s website, approve any upcoming newly eligible employee, so they can receive the invite to participate in the plan, ensure that the data is correct in ADP (employee addresses, etc.), work with the auditors to provide all necessary items they request, maintain all compliance documents for the company (loan requests, backup for loans, etc.)
  • Performs various journal entries, account reconciliations, and provides general ledger support.
  • Supervises the human resources/payroll coordinator.
  • Maintains current knowledge of applicable state and federal wage and hour laws.
  • Stays current on payroll systems to achieve alignment with HR benefits and other related and to ensure effective accounting support.
  • Facilitates management and employee understanding of payroll procedures.
  • Biweekly activities to include voiding checks/ manual check as required. Exporting payroll from time management system and importing into HRIS. Preparing bi-weekly payroll budget analysis (Actual vs. Budget) including ensuring that all employees are classified in their proper org levels, departments, etc.

 

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.

 

Supervisory Responsibilities:

  • Recruits, interviews, hires, and trains new staff in the department.
  • Oversees the daily workflow of the department.
  • Provides constructive and timely performance evaluations.

 

Required Skills/Abilities:

  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with payroll software.

 

Education and Experience:

  • Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field required.
  • Three to five years of related experience required.

 

Travel

Some travel will be required to attend company sponsored meetings and trainings.
