Job Description

FirstService Residential New York is seeking a Payroll Coordinator to join our Manhattan-based Client Human Resources Team. Job duties and responsibilities include but are not limited to, the following:

 

  • Oversee the Payroll functions, systems and programs for FirstService's clients' payroll, ensuring that policies and procedures comply with all government regulations and company guidelines.
  • Effectively and timely communicate project expectations to team members and stakeholders.
  • Process weekly and biweekly, non-exempt and exempt, multi-state payrolls for 1,000+ union and non-union associates among 100+ entities.
  • Enter payroll data including new hires, terminations, leave of absences, adjustments, rate changes, direct deposit, tax exempt information, paid time off, and related information into on-line payroll system.
  • Reconcile payroll previews before and after they have been processed.
  • Produce timely payroll standard reports for multiple pay cycles and entities.
  • Process and audit payroll reports for payroll close.
  • Coordinate union and worker's compensation audits for over 100 different entities.
  • Communicate with associates and related departments to answer questions and resolve problems.
  • Issue manual pay checks for employees to address payroll discrepancies and timesheet corrections.
  • Reconcile and maintain monthly employee medical insurance and 401k plans and assist associates with any inquires.
  • Manage periodic audits, projects and processes.
  • Serve as a resource and provide guidance during all stages of projects and deliver progress reports, proposals, requirements documentation, and presentations.

 

Knowledge, Skills, and Proficiencies:

  • Bachelor's Degree in Human Resources or related field is preferred.
  • Must have 3+ years of experience processing multi-state payrolls.
  • Specialized knowledge and ability to interpret and apply Federal/State laws, rules and regulations relating to payroll.
  • Knowledge of union payroll, preferably 32BJ.
  • Knowledge of MS Office.
  • ADP Workforce, ADP PC Payroll, E-time preferred.
  • Excellent customer service skills.
  • Strong verbal, presentation, and written communication skills.
  • Ability to communicate and provide guidance to all employee and client levels.
  • Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point and Outlook.
  • Proficiency researching the Internet
