Our Operations Manager will serve as an integral part of the leadership of the community and will have significant interaction with the community’s Board of Directors and homeowners. About The Community
Sweetgrass is a place where amenities and lifestyle, the indoors and the outdoors, the daytime and the evening, all come together to create a community. On site, you will find 500 acres of land that represent just over 1,500 home sites, with a 28,000 s.f. state of the art amenity center including a computer lab, billiards room, wellness center and indoor and outdoor pools, fitness center, walking trails, and a plethora of outdoor facilities. Sweetgrass is the epitome of true southern comfort coupled with the famous Del Webb lifestyle.
The rolling topography at Del Webb Sweetgrass creates beautiful country-like views of the area with plenty of opportunities to view wildlife in its natural habitat, including Rabb's Bayou and more than 50 acres of water on site. Sweetgrass is the first Del Webb community in the area for those aged 55 and better.
What You’ll Accomplish
- Support the Community Manager in the daily business operations and upholding the community standards as required by the governing documents, the CCMC management contract, and applicable laws
- Provide oversight of projects as directed by the Community Manager, acting as liaison to service contractors and vendors
- Board and Committee meeting attendance
- Oversight of certain site staff and grounds services teams
- Maintains all association records as required by the governing documents, federal and state law and CCMC protocol
- Oversee daily office functions ensuring that the needs and requests of the residents are dealt with in a timely and professional manner
- Recruits, hires and evaluates potential employees
- Coordinate pre-employment, new hire and separation paperwork for all on-site personnel
- Works with division accounting department to ensure proper documentation of contracts, invoices and other expenses
- Assist the Community Manager with developing and administration of the annual operating and reserve budgets
- Provides monthly report documenting inspection results
- Establish and implement a preventative maintenance schedule and maintains records of planned service
- Prepares bid specifications and makes recommendations for the award of contracts
- Provide initial response to calls for service from staff, assess maintenance needs, and take corrective action or route work orders to the appropriate contractor or staff
- Maintain records pertaining to maintenance of facilities and grounds, equipment/asset warranty, and service information
What We’re Looking For
- Three years of proven career advancement in a professional business environment
- Two years of community management/supervisory experience (preferred)
- Associate’s or Bachelor’s degree or equivalent experience
- Project Management experienced (preferred)
- Attention to detail and a customer focused attitude
- Ability to multi-task on a variety of levels with the utmost of focus and professionalism
- Knowledge of community association management principles, procedures, and standards
- CAI credential of CMCA designation with the ability to obtain the AMS designation
- Be able to work longer than an eight-hour day or a forty-hour week; must be able to respond to after-hours emergencies as necessary
- Have a valid driver’s license and current vehicle liability insurance
- CAM license preferred (Required in Florida, Georgia and Nevada within 90 days of hire)
- Familiarity with Health and Safety best practices (preferred)
If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify People Operations immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.
The physical requirements can vary, but generally, they may include:
- Mobility: Ability to walk the grounds long distances in various weather conditions.
- Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
- Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
- Manual Dexterity: Skills in using technology, including computers and mobile devices.
- Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
