Job Summary

 

Perform duties to provide support to all functions within the Operations department.

 

Essential Duties & Responsibilities

 

  • Assist with emails/voicemails.
  • Compose communications and submit to Management for approval. Assist management in the preparation of presentations as necessary
  • Operations / FD support
  • Assist all members of the operations team in accomplishing their goals and objectives
  • Prepare reports, presentations and other communication materials.
  • Provide administrative support and computer skills for special projects.
  • Assist Property Managers, RD and VP’s with Connect related issues.
  • Manage and monitor activities of all property employees they adhere to the standards of excellence and to the guidelines setin the employee handbook.
  • Conduct Briefing / First Call for the staff.
  • Direct and oversee all property operations during the shift to ensure resident’s satisfaction and safety
  • Inform the staff of scheduled activities.
  • Making sure any special requests are carried out accordingly.
  • Ensure premises are secured.
  • Monitor daily weather forecast.
  • Control flood gates and security features are installed.
  • Monitor the garage and all amenities, including the park.
  • Maintain a professional and high-quality service-oriented environment at all times.
  • Act as manager on duty for the association in the absence of the GM dealing with complaints, problem solving, disturbances, special requests and any other issues that may arise.
  • Manage the shift ensuring all employees perform the tasks assigned to them.
  • Ensure that the public areasare kept clean and tidy.
  • Occasionally Assist residents, valetand towers.
  • Monitor and develop team member performance to include, but not limited to, providing supervision, scheduling, assigning duties, conducting training, conducting counseling’s and evaluations and delivering recognition and also reward.
  • Ensure the accurate completion of the daily tasks in a timely fashion.
  • Oversee preparation of daily summary, weekly and monthly reports.
  • Perform inventories.
  • Should Show Initiative, Problem Solving, Staff Training, Team Leading.
  • Work closely with the HousekeepingDepartment to improve property look and feel.
  • Be aware and able to enforce all fire-life-safety procedures.
  • Remain current in all updates with regards to new procedures and training.
  • Report any suspicious persons, activities and/or hazardous conditions to the GM.

 

Additional Duties & Responsibilities

 

  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

 

Supervisory Responsibility

 

The role has supervisory responsibilities.

 

 

Education & Experience

 

Associate’s Degree in Business or related field from an accredited college or university, and two to three years of administrative experience; or equivalent combination of education and experience.

 

Knowledge, Skills & Proficiencies

 

  • Excellent customer service skills
  • Strong verbal and written communication skills.
  • Detail oriented and strong organizational and multi-tasking skills.
  • Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point, Visio and Outlook. Proficiency researching the Internet.
  • Ability to work with sensitive or confidential information.
  • Ability to meet deadlines and work well under pressure.
  • Ability to work in a team environment as well as independently and be self-driven

Tools & Equipment Used

 

Computer and peripherals, standard and customized software applications and tools, and usual office equipment.

 

Physical Requirements/Working Environment

 

The employee is required to work at a personal computer as well as performing property inspections throughout the 9 hour shift. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours and weekends. Physical demands include ability to lift up to 50 lbs.

Travel

 

Work may involve some driving/traveling to properties.
