Action is seeking an experienced Operations Coordinator to support The Azzurra, a luxury high-rise HOA located in Marina del Rey consisting of 450 units.

Schedule: Monday through Friday with weekends and evenings as needed.

Compensation: $27 - $31 per hour, depends on experience + comprehensive benefits package

Summary: Operations Coordinator will assist the General Manager, Assistant General Manager and Operations Manager with certain aspects of the operations of the association.

Operations Coordinator shall communicate with homeowners and vendors on behalf of the Association on all matters of non-compliance with the Association’s governing documents.

The Operations Coordinator shall assist with supervising the access control staff and ensure that job specific training is conducted for access control.

The Operations Coordinator shall attend executive session meetings for the purpose of reporting on non-compliance issues. Attendance at the general session board meetings is required.

The Operations Coordinator shall attend Association meetings and is responsible for the creation and maintenance of corporate meeting minutes as required by the California Corporations Code.

Operations Coordinator acts as Management liaison to and assists the Technology Committee with monthly meetings and provides administrative support to the Committee.

Conduct walk through of the property including the garage/floors, amenities, common areas and balconies for any Non-compliance activity.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

  • Monitor and maintain homeowner files.
  • Oversee performance of access control and contracted valet and ensure that such personnel are adhering to the Association’s rules and regulations, documenting and invoicing for the use of the Association’s parking areas by guests, contractors, vendors, and other properties, and ensuring that all such use and activities are compliant with the Association’s governing documents.
  • Develop and maintain calendars and reports of building activities, including but not limited to databases and non-compliances.
  • Ability to send E-blast to residents.
  • Coordinate and assist management with updates on all resident information is completed in the all databases and files.
  • Review and respond to Association correspondence.
  • Provide the General Manager with required monthly reporting in support of board meetings a minimum of 7 business days in advance of meetings.
  • Ensure that the Building’s non-compliance and enforcement procedures are followed as needed.
  • Respond to inquiries and investigate and resolve problems related to homeowner complaints.
  • Perform regular property inspections, and video footage investigations.

Miscellaneous

Obtain proposals from Vendors/Contractors as directed by General Manager or Assistant Manager with a focus on finding efficiencies to help the Association reduce expenses and conserve energy/ resources.

  • Ensures the scope of work is accurate and consistent
  • Assures bid requirements are clear and that sealed bids are handled appropriately.
  • Completes comparative analysis of proposed changes.
  • Makes recommendations to the General Manager on contracts in order to obtain better prices and terms.
  • Coordinates logistics with affected departments and communicates details to residents as necessary prior to work being performed. Reviews invoices for work performed for accuracy and compliance to the terms of the work agreement.
