Job Summary

This role supports a luxury high-rise community by serving as a primary point of contact for homeowners, coordinating daily operations, and ensuring smooth community management. Responsibilities include responding to resident inquiries, organizing records, processing invoices, conducting property inspections, coordinating maintenance, supporting board and committee meetings, managing contractors and RFPs, and assisting with events and resident engagement. The position requires strong communication skills, excellent organization, proficiency with technology, and the ability to build positive relationships. Bilingual Spanish/English is required. Key Responsibilities

  • Respond promptly and professionally to homeowner inquiries via email, phone, and in person.
  • Maintain organized records and track the progress and resolution of homeowner concerns.
  • Assist with filing, documentation, and preparation of community reports.
  • Process invoices, ensuring accurate coding and timely submission.
  • Support the Budget & Finance Committee, including attending meetings and completing follow-up items.
  • Conduct property inspections, document findings, and coordinate maintenance or compliance actions.
  • Prepare, distribute, and manage Requests for Proposals (RFPs) for community projects.
  • Monitor contractor performance to ensure quality work and adherence to schedules.
  • Build and maintain positive relationships with homeowners, residents, board members, and team members.
  • Educate the community on policies, rules, and regulations; support enforcement when necessary.
  • Conduct new resident orientations and serve as an emergency point of contact when designated.
  • Attend board, budget, and finance meetings; assist with agenda preparation and follow-up activities.
  • Oversee special projects and collaborate on long-term improvement initiatives.
  • Stay proficient with property management software, Microsoft Office, and new technology tools.
  • Make informed recommendations to improve operations and community experience.
  • Perform additional duties as needed to support smooth community operations.
