Job Description
Job Summary
We are seeking a results-driven site manager with a deep understanding of continual process improvement and data-focused decision making. In this position, they will act as a subject matter expert in the maintenance of all physical assets that are the responsibility of the Park Glen HOA. They will be responsible for proactively identifying, documenting, road mapping, reporting, and executing maintenance actions that can improve community welfare, reduce risk, and support the long-term budget. In carrying out their duties, they will be expected to solicit and negotiate bids when outside vendors are required for maintenance action, and they will present options to the HOA board of directors when bids exceed budget thresholds.
There will be an expectation that the candidate maintain professional records that can be used to perform simple analysis for vendor scoring, maintenance process improvement, and risk management in addition to drafting maintenance SoPs to simplify operations moving forward.
Key Tasks for Site Manager:
- Vendor Management –
- Assist with vendor screening and selection
- When multiple maintenance remedies are offered, provide Board with technical arguments for and against the various remedies
- Ensure contracts for services are appropriate, competitive, and perform according to specifications
- Conduct contractor performance reviews
- Coordinate with and review completed work of contractors
- Communicating any deficiencies of services to the contractor, issues to be resolved and effects of non-resolution
- Researching more appropriate vendors, better services, better prices (low price is not always better service), more efficiencies of services such as:
- Share services with neighboring communities to get better price.
- Share maintenance or contract employee with other communities.
- Reduce janitorial or other services in slow use periods.
- When possible, buy in bulk.
- Environmental Standards – The manager should work with the board to adopt resolutions based on identifying and defining different approaches to energy conservation based on the specific needs of the community including:
- Evaluating common areas for green operations such as:
- Utilize more energy efficient equipment and lighting
- Reduce schedule for exterior and landscape lighting
- Plan sustainable landscaping
- Identifying long-term projects that can save money and improve sustainability
- Encouraging the residents to be more energy friendly and conservation minded:
- Introduce water and electricity saving tips through newsletter and website articles
- Seek out city and county incentive programs
- Property Maintenance –
- Draft property wide maintenance plan and perform routine maintenance & safety inspections
- Assess, document, and minimize risk
- When applicable prepare sites for vendors to reduce costs or friction
- Address and report safety concerns in a timely manner
- Develop contract specifications to assist in bidding out contracted services
- Day to day problem solving and dealing with any issues that arise
- Ensure that Park Glen common areas comply with federal, state, and local laws
- Track and monitor project progress
- Perform various maintenance tasks property wide where a license is not required
- Data, Technology & Record Keeping –
- Maintain quality control procedures to ensure standardization and usefulness of data collection
- Maintain detailed records pertaining to vendor scores and maintenance events (expected and unexpected)
- Deliver monthly maintenance report at board meeting
- Comfortably operate Excel, Word, and Outlook in addition to computer programs associated with access control, task management, and expense tracking.
