Executive Assistant to the General Manager

 

The Executive Assistant provides administrative support in a variety of functions to the General Manager, including assisting with the operations of the Administration Team, Design Review Board, Healthy Forest, Lifestyle, and Post Office. This role will ensure that requests presented to the General Manager for consideration are summarized, prioritized, and researched in a concise and useable format for the executive to review. This position may create, or coordinate, community and board communications, memos, and calendar schedules.

 

We are looking for a candidate that is highly organized, proactive, and articulate that will use these skills to help maximize their executives’ time and efficiency. The candidate must be professional, flexible, and able to thrive in a dynamic work environment. Excellent communication and people skills are critical as well as the ability to build strong relationships internally and externally. The candidate should handle confidential matters with discretion, be a proactive problem solver, and work effectively on a team and independently.

 

Responsibilities

 

  • Receives and screens homeowner inquires or concerns and provides resolutions
  • Supplemental support and oversight of the Design Review Board, Healthy Forest, Lifestyle, and Post Office
  • Ability to learn and interpret the Association’s governing documents
  • Assist with Human Resource and Payroll responsibilities
  • Assists with the preparation of correspondence, forms, reports, and other written communications as needed
  • Schedules and coordinates Board meetings and communications
  • Assists in preparation of community emails and correspondence
  • Plus other work related tasks as needed

 

Skills

 

  • Critical thinking skills, decisive judgement, and the ability to work with minimal supervision.
  • Proficiency in Excel, Microsoft Word, and Constant Contact
  • Effective verbal and written communication skills with internal and external contacts
  • Ability to use independent judgment to determine priority and sensitivity of inquiries and responses
  • Valid Driver’s License
