Job Description

 

The Community Manager is responsible for providing the overall supervision of a condo community in Margate. The successful onsite Manager interacts with internal and external customers including homeowners, vendors, board members and committee members, as well as staff within the branch office, staff at the Associa Client Shared Service Center (CSSC) and on-property.

 

Essential Job Functions:

 

  • Supervise the administration of the Association in accordance with the management agreement and the Association's governing documents
  • Acts as the primary liaison with the Association Board of Directors and homeowners as needed
  • Perform/Direct administrative and management duties as requested by the Board of Directors and in accordance with the management agreement and governing documents; Provide and/or oversee recommendations to the Board and committees regarding major capital expenditures as required to maintain the desired community appearance and operation.
  • Ensure Associa community management tools are being effectively developed and utilized such as annual calendar, action item list, resolution worksheets, timed agendas, RFP matrixes, committee charters, procurement procedures, FY operating budget, etc.
  • Review monthly financial reports and ensure management summary is submitted to the association Board of Directors
  • Monitor corporate and client delinquency and collections process for assigned property
  • Attend and conduct Board meetings per the management agreement and community events as needed; Prepare Board packages according to established time frames.
  • Maintain unit files relating to the Association
  • Assist Board of Directors with architectural review process and/or routine inspections in accordance with management agreement
  • Responsible for maintenance of Associa and client data base, including updating board and resident information
  • Oversee the Financial process in accordance with company processes and procedures
  • Responsible for oversight of staff as contract provides. Coordinate and/or oversee inspection of building facilities and/or common area and arrange appropriate follow up actions as required.
  • Review monthly financial reports and ensure management summary is submitted to the association Board of Directors
  • Review all contracts and is knowledgeable of all Association Governing Documents
  • Communicate with homeowners, vendors, realtors, tenants and board members as needed
  • Stay current with best industry practices, as well as all current applicable laws and educate boards on same
  • Other duties as assigned

 

Requirements

 

  • Must have a valid Florida Community Association Manager License (LCAM)
  • 3+ years of condo association management experience (not multi-family related) is desired
  • Some construction or project oversight experience is desired
  • Associate degree required; Bachelor's degree preferred
  • Prior management or supervisory experience is desired
  • Strong knowledge of financial reports and budgets with mathematical skills required to read, understand, create and analyze balance sheets, develop operating budgets, forecasting and capital expenditure planning
  • Professional customer service skills
  • Exceptional communication skills both written and verbal with a polished, professional and friendly demeanor
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level with emphasis on Outlook and Excel
  • Knowledge of the role of the association board, the Community Association Manager, and how those roles interface with the requests of homeowners
  • Knowledge of conflict resolution techniques at a proficient level
  • Self-motivated, proactive, detail oriented and a team player
  • Time management and time critical prioritization skills.
  • Effective organizational skills
