Responsibilities
Summary: The Community Association Administrator performs a variety of duties related to a broad range of clerical and administrative tasks, performs requisite in-house duties to support timely updates for accounting, establishes and maintains files, demonstrates proficiency with office equipment and software, maintains current updates of community and membership database information, exercises judgment and discretion as liaison between the Assistant General Community Association Manager/General Community Association Manager and Members, and prepares special reports as requested. In the absence of the Assistant General Community Association Manager, the Community Association Administrator will report to the General Community Association Manager.
Essential Duties and Responsibilities:
- Assists the Assistant General Community Association Manager and/or the General Community Association Manager in day-to-day management duties.
- Carries out decisions and actions of the Assistant General Community Association Manager, General Community Association Manager, and the Board of Directors.
- Effectively handles escalated and specialized calls in lieu of the Assistant General Community Association Manager and/or the General Community Association Manager.
- Documents and reports any loss or damage of any nature occurring in the Community to the Assistant General Community Association Manager and/or the General Community Association Manager with a full understanding of how to handle emergencies when they arise.
- Accepts deliveries and pick-ups for Homeowners, as necessary.
- Assists Assistant General Community Association Manager and/or General Community Association Manager in preparing for meetings and attends meetings, as needed.
- Provides on-site presence with Board Members, vendors, and Homeowners.
- Completes post-inspection follow-up items conducted by the Assistant General Community Association Manager and/or the General Community Association Manager, as needed.
- Prepares mailing information for Assistant General Community Association Manager and/or the General Community Association Manager review, i.e., newsletters, notices, ballots, etc.
- Responsible for the maintenance and accuracy of internal system databases in tandem with the Assistant General Community Association Manager and/or the General Community Association Manager.
- Orders office supplies, printer cartridges and any other items requested by Assistant General Community Association Manager and/or the General Community Association Manager; maintains sufficient quantities of needed items.
- Assists Assistant General Community Association Manager and/or the General Community Association Manager in preparation and setup of annual meetings; further assists with property owner registration, ensuring that owners are eligible to vote at annual meeting, if applicable.
- First point of contact for all Homeowner communication.
- Conducts all new Homeowner orientations, as needed.
- Maintains gate system and audits gate system information regularly.
- Completes assigned action items accurately and in a timely manner.
- Basic understanding of Community Financials.

Qualifications
- High school diploma or GED required. Associate degree preferred.
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
- Excellent computer proficiency (MS Office – Word, Excel and Power Point).
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
Pay and Benefits:
$24.00 to $25.00, depending on education and experience.
