Onsite Assistant Community Association Manager

Position Overview

The Onsite Assistant Manager works under the direction of the Community Manager and serves as a critical point of contact for residents, vendors, and guests of the Association. This role supports both administrative and operational functions, ensuring the community is managed with professionalism, accuracy, and care. The Assistant Manager balances resident-facing service with the behind-the-scenes work that sustains a well-run Association, contributing to a positive community experience and the protection of property values.

Key Responsibilities

  • Assist the Community Manager with day-to-day operations of the Association, including resident services, administrative tasks, and vendor coordination.
  • Communicate professionally and effectively with residents regarding property-related issues, service requests, and community standards.
  • Coordinate maintenance needs with residents, vendors, and contractors; track work orders and follow through to resolution.
  • Conduct and document routine inspections of common areas, reporting findings to the Community Manager.
  • Assist with resident move-in/move-out processes, amenity reservations, and community access (transponders, fobs, guest passes).
  • Maintain accurate resident records, service tickets, compliance logs, and Association databases.
  • Support the Community Manager in preparing board packets, agendas, meeting minutes, and management reports.
  • Monitor compliance with Association rules, regulations, and CC&Rs; issue courtesy notices and escalate enforcement matters as directed.
  • Assist with financial administration including invoice coding, budget tracking, and reporting.
  • Provide concierge-style support, including package management, event support, and vendor coordination for resident-facing services.
  • Assist with hospitality events, sometimes in-line with staff and obtain a servsafe card to ensure the association is always protected.
  • Provide coverage for in-line staffing requirements on an as-needed basis to ensure the operational stability of the Association assets.
  • Participate in safety, security, and emergency response procedures as needed.
  • Contribute to a team-oriented environment by supporting other on-site staff and collaborating to accomplish shared goals.
  • Other duties as assigned by supervisor.
