Qualifications
- Proven experience in office organization and office protocols.
- Property Management experience in condominiums preferred but not mandatory.
- Must have excellent communication skills.
- Must be highly organized, personable, and able to maintain a high level of service in the face of pressure situations.
- Have experience in a deadline-driven environment and take action with a sense of urgency.
- Provide excellent customer service and interpersonal skills; can empathize and build relationships with a variety of personalities.
- Have excellent written, problem-solving, and verbal communication skills.
- Must be technologically savvy; basic knowledge of Microsoft Office Word and Excel programs with the ability to learn new programs quickly and troubleshoot common issues.
Responsibilities
- Implement policies of the association
- Assist Manager in enforcing rules and regulations
- Cite violations and conduct follow up to resolve problems
- Monitor the initial paperwork for contractors, renovations deliveries for compliance to property protocol.
- Prepare work orders for maintenance from residents and manager
- Enter all work orders into system and back charge owner accounts
- Maintain Buildinglink resident information
- Oversee all Move In/Move Out activity – maintain calendar, collect fees and certificates of insurance. Communicate/coordinate with staff.
- Oversee Community Room Rentals – maintain calendar, collect fees and certificates of insurance. Communicate / coordinate with staff
- Prepare calendar of approved deliveries
- Respond to complaints, questions, concerns, and suggestions of all members of the association
- Answer all incoming calls
- Greet residents and nonresidents as they enter the office and assist with their inquiries
- Fulfil board request by performing work requested or informing manager or maintenance of the request
