Responsibilities
Responsible for identifying, coordinating, and marketing resident programs including recreational, social, travel, cultural, educational, and entertainment. Responsibilities encompass program development, wellness, and fitness programs. Additionally, assist the Community Association Manager with the administrative functions to ensure operations of the community are met.
Duties and Responsibilities: Part time hours
- Plan, coordinate, and implement resident programs, classes, and special community-wide event(s). Secure all entertainment, food, decorations, and items necessary to carry out event/s. In planning, solicits input and involvement from residents to stimulate
- participation and awareness of the robust and facilitated lifestyle opportunities available.
- Assist residents, chartered clubs, and community organizations in the scheduling of Association facilities, including program and room requirements, coordination with other Association departments, and arrangements for the collection of fees as applicable.
- Work with residents to assist in the establishment of chartered clubs.
- Provide assistance in the application for charter process, assignment of facility space, development and promotion of programs, file maintenance and acts as a general overseer.
- Develop an active volunteer program among residents, providing for both promotion and recognition.
- Oversee the operation of membership able to ensure adequate policy, and procedure implementation and administration, asset control, and required documentation.
- Partners with the Community Manager to identify, coordinate and market all community events, programs, and services.
- Writes and edits articles for community newsletter, website and MailChimp. Provide updates, maintenance, and control. Prepares flyers and posts/update in the community clubhouse, bulletin board(s) for resident visibility.
- Host the New Resident Orientation presentations to ensure adequate promotion, room set-up, amenities, provides information (welcome packets and forms for new members) to the residents for community participation.
- Monitors daily operations of communities, including but not limited to managing contract services, assisting Community Manager with coordinating, and conducting community meetings and other operations as directed by the Community Manager.
- Plus other work related tasks as needed
Schedules meetings or take walk-in meetings with vendors, residents, or other concerned parties - listens, resolves, and/or mediates, as required or necessary as it pertains to Bouchelle Island CSA management.
Prepares special studies, projects, or reports as directed by the Community Manager.
Assists Community Manager as needed with other issues throughout the community such as:
- Gather and Update Access Control System for gates and fobs.
- Close out violations.
- Provide response to emails within a reasonable time.
- Keeps track and provides weekly and monthly report log of daily activity while performing the duties of the association for board review.
- oracking utility expense spreadsheet and report inconsistencies.
- Assist with member issues related to HOA matters in person, via phone or email.
- Assist with HOA database.
- Upload all leases into Vantaca and homeowner file.
- Assist with mailing letters as directed by the Board.
- Assist with overseeing vendors and vendor follow up.
- Assist with gathering data, estimates, photos and documents as requested by Manager.
- Completes report of all inventory of association assets.
- Attendance required at Community Association meetings including but not limited to the annual/monthly HOA and assist with preparation, distribution, posting of packets, table/room set-up and electronic devices.
- Performs daily ground inspections of club tract and report to Manager.
- Submit work orders for maintenance issues that require repairs.
- Pickup supplies for events / running errands.
- Perform all other duties as directed.
Qualifications
Qualifications:
- Knowledge of community association management principles, procedures, and standards.
- Knowledge of the contracting process and associated regulations.
- Ability to communicate effectively, both orally and in writing.
- Strong interpersonal and communications skills and the ability to work effectively with a wide range of stakeholders in a diverse community.
- Skill in organizing resources and establishing priorities.
- Skill in the use of computers, including Windows-based operating systems.
- Ability to always exhibit professionalism and professional attire and demeanor.
- Work with various stakeholders to help ensure that there are clear understandings of homeowner and association responsibilities.
- Work with other management team members to ensure that management activities are in concert.
- Ability to function well in a stressful environment.
- Seek innovative ways to enhance the community.
