Job Purpose
The Everlake HOA Administrative Assistant/Lifestyles Coordinator position incorporates both office andEvent duties.
Candidate must be able to work independently or as a team.
Duties and Responsibilities
Administrative Assistant
- On-site at the Everlake office during scheduled hours
- Understand basics of community and builder information
- Provide prospective buyer amenity tours
- New homeowner orientation
- Providing Welcome Packet with mailbox keys, key fobs and gate decals,
- Explaining HOA website, Envera, community events, and amenity rules & regulationsoUpdate HOA website & Key Fob system with new resident information
- Assist in community update email blasts which includes but not limited to the weekly newsletter.
- Keep Welcome and Amenity Centers in clean, working order
- Manage daily operations of Amenity Center to ensured rules and regulations are being enforced
- Serve as local resource and liaison between residents, HOA and developer.
- Coordinate working relationship between Director of CAM Operations, Regional Lifestyle Director, Regional Facilities Director and Community Manager so all parties are aware of needs or matters to be addressed.
- Plus other work relates tasks as needed
Lifestyles Coordinator Assist the Regional Lifestyle Director with the following, as needed
- Event setup, running of event and clean up
- Create event flyer upon request based on event theme and informationi.Must be creative and follow legal guidelines
- After training period, will be asked to help create and run smaller events independentlyi.Must be able to work off budget, book vendors, and plan event with community interests in mind.ii.Encourage community participation by reviewing request from residents
- Manage HOA online calendar by adding events, flyers and RSVP’s to website
- Send e-mail blasts for events with links to RSVP and calendar
- Solicit and mange sponsorships for events as needed to increase budget given
- Recruit and organize volunteers
- Provide assist to resident run groups when requested
- Conduct surveys as needed for obtaining resident feedback on past experiences or ideas for new events in the community
- Plus other work relates tasks as needed
Qualifications
Good organizational and verbal skills.
Computer skills including basic knowledge of MS Office programs including Outlook, Word and Excel.
Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays.
Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
Personal vehicle required; standard mileage reimbursement provided.
Must have the ability to perform moderate physical work and may be required to lift up to 50lbs., up to 30 lbs. frequently and up to 20 lbs. constantly.
Perform activities such as bending, kneeling, crouching, reaching, standing, lifting and grasping for up to 5 hours without sitting.
