Job Description
Associa Chicagoland seeking a full-time Administrative Assistant at a Prestigious community in Naperville, IL. This position reports directly to the On-site Community Association Manager. The Administrative Assistant will be responsible for providing clerical and administrative support to the lead Community Manager. This position will interact with homeowners, vendors, board members & committee members, and staff at the Associa Client Shared Service Center (CSSC) and within the branch office. The candidate will provide customer service to unit owners, handle day-to-day administrative activities, answer phones, type correspondence, maintain a filing system, etc.

Duties include but are not limited to:
- Field and respond promptly to the majority of homeowner inquiries via phone, e-mail, work order, letter, and/or in person.
- Interact with vendors.
- Conversations/correspondence with homeowners.
- Prepare newsletters, flyers, and other various documents to inform homeowners of maintenance services or projects, activities, meetings, etc.
- Assist lead Community Manager in monitoring corporate and client delinquency rates and collections process for account portfolio.
- Maintain property files and unit files.
- Assist the lead Community Manager with requests for proposals, repair quotes, and insurance notification lists.
- Attend quarterly Board meetings in the evening.
- Other duties as assigned.
Requirements
- Must have excellent customer service, computer, and typing skills.
- Be able to learn new computer software and programs and self-teach through online learning and training guides.
- Must be highly organized and know how to prioritize while working independently with minimal supervision or while in communication with the team.
- Strong in multitasking and proven to follow through on assigned tasks and responsibilities.
- Will exhibit a positive business relationship with all owners, residents, board members, vendors, and coworkers.
- Candidates should have a solid background in Customer Service any real estate background is a plus.
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Knowledge of communities/property/real estate and homeowners associations.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Self-motivated, proactive, detail-oriented, and a team player.
- High School Diploma or equivalent required
- 0 – 3 years of Community Association experience
