Job Description
The Community Support Specialist will monitor resident and guest use of club facilities for adherence to the Rules & Regulations regarding facility use. In addition, will assist in functions/duties relating to operation and maintenance of facilities, and maintain verification of residents’ membership to the club facilities, and surrounding facilities at the community. Duties include clerical and administrative, customer service, recreation attendant, and code inspector functions.
This is a PART TIME role where flexibility, reliability, excellent communication skills, and a professional demeanor are required.
Work hours:
Monday, Tuesday, Thursday, Friday 10 - 3
Wednesday - 1-5 or 2-6
Duties include:
- Answer the phones and assist residents with basic community questions.
- Manage pool registration process through internal software.
- Prepare materials for pool season for lifeguards.
- Ensure thecleanliness and maintenance of the pool and clubhouse. Coordinate with the maintenance team regarding any concerns.
- Manage Clubhouse rental process. Answer questions, receive signed contracts and payments, assist with rental access information, and conduct inspections on Mondays after rentals.
- Assist homeowners with the architectural review process. Assist homeowners in submitting an application and follow with the board's decision.
- Visit multiple communities to conduct Resale Inspections. Complete form details and attach photos for review. Submit forms to the Architectural Department. Data enter information in the database. Issue violation notices.
- Conduct routine architectural inspections in the community. Send violation information and photos to theArchitectural Departmentto process. Send out violation notices to homeowners.
- Respond to resident complaints, such asarchitectural issues, commercial vehicles, vehicle parking issues, maintenance concerns.
- Respond to resident inquiries and post community reminders utilizing the inhouse software system.
- Meet with the Maintenance teams during weekly visits. Review list items that need to be completed. Update and maintain the routine work orders.
- Assist the Portfolio Manager with general tasks as assigned. Coordinated maintenance to come on site to complete work. cleaning, pool maintenance, etc.
- Other duties as assigned.
Requirements
- High School Diploma or GED Required.
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Interpretation and completion of verbal and/or written instructions at a proficient level.
- Self-motivated, proactive, detail oriented and a team player.
- Time management and time critical prioritization skills.
- Valid driver's license is required.
