Action is seeking a full-time Office Manager to join our team at our San Diego Regional Office.

Compensation: $67,000 to $72,000

Schedule: Monday – Friday: 8:00 AM to 5:00 PM

Summary:

The Office Manager assists the Vice President, Director, and Managers of Community Services on a daily basis through administrative support, supervision of office support staff, and miscellaneous tasks as described or requested. The Office Manager also oversees the manager assistant team as their supervisor.

Essential Duties and Responsibilities:

  • Provide administrative support to the Vice President, Director, Manager of Community Services, High Rise Managers, and Portfolio Managers.
  • Communicate with Managers concerning initiatives and support needs addressing them accordingly.
  • Schedule and coordinate quarterly CME Managers’ meetings, Board Leadership Seminars, and Vendor Lunch & Learns.
  • Maintain conference room calendar and assist with equipment set-up for scheduled presentations.
  • Assist in completion of Action List items, as requested.
  • Update Association Profile and Annual Calendars as needed; copy and distribute.
  • Process architectural submittals per written instructions.
  • Assist assigned Managers with phone calls, incoming when Managers are unavailable, and outgoing as requested.
  • Prepare all documents for Annual Meetings.
  • Assist with marketing of new business, by preparing and sending out marketing packets/letters when requested.
  • Serve as the main point of contact for the office building management staff and distribute building notices to office staff accordingly.
  • Oversee and coordinate holiday and social events for the office, including coordination of employee birthday cards for office staff.
  • Assist with special projects and development of policies, procedures, and division initiatives.
  • Provide ongoing Manager Assistant and Move Coordinator training to all new hires within the San Diego office, and on-site locations as needed.
  • Assist with the recruitment and interviewing of Manager Assistant and Move Coordinator candidates.
  • Counsel, supervise, and conduct monthly touch base meetings with all office support staff.
  • Counsel team members as necessary and provide written documentation to HR Director and supervising Manager.
  • Coordinate coverage of team member responsibilities in event of absences.
  • Manage timecards, process payroll, and manage sick/vacation requests for hourly Manager Assistants and Move Coordinators.
  • Maintain and update Manager Assistant daily, weekly, and monthly checklists.

Required Skills:

  • Minimum two (2) years of office management experience.
  • Must have a valid California driver's license and automobile insurance.
  • Self-starter with good organizational, time management, and follow-up skills with the ability to manage competing priorities and assignments.
  • Excellent verbal and communication skills.
  • Dependable, punctual, and reliable.
  • Professional manner and appearance.
  • Ability to understand and follow directions.
