Responsibilities
Job Responsibilities:
Provides support to a team of portfolio manager while ensuring the values and culture of VCM, Inc., are demonstrated at all times. Responsibilities will include working with association managers and company leadership to help create each community’s vision. Previous work with gate access systems is preferred. A successful candidate must have a commitment to exceptional customer service and quality control.
Position Responsibilities:
- Assist Director of Management and Association Managers as required
- Handle all pool and gate access systems while maintaining a master pool list
- Maintain Houston’s Community Websites by uploading Board Updates, Board Meeting Packets, Meeting Minutes, Management Reports, Governing Documents, etc.Assist in sending violation notices
- Coordinate Board and annual meeting reservations
- Prepare copies for Board and annual meetings
- Ensure all Houston calendars are up-to-date and organized
- Coordinate community-wide mailings
- Coordinate monthly emails
- Answer telephone, screen and direct calls to the correct personnel
- Take and relay messages in a timely fashion
- Provide helpful information to callers
- Greet & assist persons entering organization
- Monitor visitor access and maintain security awareness
- Receive and sort mail and deliveries
- Monitor and maintain office equipment and handle IT issues
- Tidy and maintain the common areas
- Complete required reporting at directed
- Ordering of supplies for office and team operation
- Monitor and manage branding materials
- Assist Director with general assignments, update, and task tracking for teams
- Assist with other duties as assigned

You should be comfortable using and learning technology software which allows you to access Owner / Residential portals, Management / Board portals, Closing portals, Attorney Portals, and Vendor portals all from one landing page.
- Flexibility and humility. We approach our business with the mentality the we are here to serve. That means that you need to be willing and able to do what is necessary to please your clients, whatever that may be. You should be comfortable and willing to pitch in and do whatever needs to be done.
- Excellent organizational skills. You will be working with hundreds of owners divided among a portfolio of properties. We have established excellent, efficient systems to facilitate this work, but you need to have strong organizational skills and be attentive to detail to use the systems effectively.
- The ability to work independently. Because this is a growing business, you need to be comfortable working alone or independently at times. We will provide training and set goals, provide the technology and systems for you to achieve those goals. You will be empowered to make decisions and will be held accountable for your decisions.
Qualifications

- Education and Experience
- High school diploma, or equivalent, required
- Knowledge of administrative and clerical procedures
- Knowledge of computers and relevant software application

Pay and Benefits:
$18.00 to $22.00 hour, depending on education and experience.
