Description
Provide assistance to assigned Community Managers and associated residents. Preparation of assigned financial statements, community loan negotiations and administration and providing customer service to homeowners and HOA board members.
Position Responsibilities
- Perform a wide spectrum of administrative duties, including one to one support for community managers and board members.
- Prepare assigned financial statements.
- Secure and administer community loans as needed.
- Develops a working relationship with community board members and homeowners.
- Provide high level customer service and problem resolutions via interaction with board members and residents.
- Provide traditional office support by maintaining calendars and appointments, composing correspondence, and creating/maintaining database information.
- Arrange meetings (times/locations) and prepare all correspondence necessary to notify included parties.
- Work with vendors to provide direction, collect bids per the manager.
- Assist in preparing board correspondence and board packages for meetings.
- Maintains accurate and current association records.
- Preparation of miscellaneous notices, newsletters, monthly statements, etc.
- Assist staff with the implementation of established company protocols.
- Assist leadership in making property assignments.
- Act as a liaison between home office and local office
- Act as a liaison with Human Resources for new hires, job changes, employee questions.
- Performs other duties as directed.

- Ability to multitask and prepare and process detailed administrative and customer requests.
- Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
- Exceptional organization and tracking skills.
- Ability to proficiently utilize office equipment (Copier, scanner, printer, etc.), computer programs and database systems, including Microsoft Office, internet and e-mail systems.
- Ability to interact and work positively and effectively with homeowners and staff at all levels.
- Advanced communication skills both verbal and written.
- Superior customer service skills and phone etiquette.
- Ability to take direction for Board Members and Management.
Physical Demands & Work Environment
- Primarily sitting at work station utilizing a computer in an office setting.
- Walking/driving through community to assist Board Members or Management with property needs.
