Front Desk
Answer, screen and forward incoming calls
Greet guests when they arrive in the office and notify appropriate personnel upon arrival
Handle all aspects of incoming and outgoing mail including going to the post office as needed
Keep the reception area neat.
Office Management
Inventory office and kitchen supplies on a weekly basis.
Order/Restock inventory as needed as well as ensuring best pricing.
Order business cards, omni cards and other similar items as needed.
Coordinate with third party IT and other vendors as needed for any issues related to computers,
copies and other office equipment.
Event Planning
Schedule and oversee various events/meetings for employees both in and out of office.
Order food for events/parties and/or coordinate with third parties who will be providing food for
various events/meetings.
On Boarding/Off Boarding
Work with HR to ensure that emails, computers, seat placement and other related setup is
completed for new hires.
Email IT to shut down/forward email and other programs for outgoing employees.
General
Assist Leadership as needed in new initiatives and other various tasks related to office
management.
Hours
Monday - Friday from 9 am to 5 pm.
Skills candidate must possess:
- Proven experience in office management or related administrative roles.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficient in MS Office Suite and other relevant software.
- Ability to work independently and prioritize tasks effectively.
- Knowledge of IT systems and equipment setup is desirable.
- Familiarity with vendor management and procurement processes.
- Attention to detail and problem-solving skills.
- Phone etiquette.
- Professional attitude and appearance.
