Job Description

Office Manager needed for a clubhouse and an office - General duties to include :

Clubhouse:

Open & Close Office - Monitor activities in the clubhouse

Assist the Chef with planning, staffing and shopping for events, meals, inventory kitchen and ordering supplies when needed

Order supplies for clubhouse guests

Research purchases for Clubhouse needs and appliances

Hire and Oversee staff: Chef, cleaner, and waitstaff

Print all sign-up forms for membership use- Hunting, newspaper, work orders, maps

Set up for Board Meetings

Office:

Serve as primary contact to all members

Back up all data on the computer daily on external hard drive and keep off premises

Process all annual tax payments with accountant - quarterly employee taxes, annual corporate taxes and sales tax payments.

Provide accountant with required data.

Manage relationships and issues with insurance agents, and workers comp annual audit

Compile and pay real estate taxes

Complete and file 480a annual reports

Complete all reports with Treasurer - monthly, quarterly, annual budget, capital expenditures, employee reports

Prepare Annual Meeting Reports with treasurer and copies for membership meeting

Maintain four bank accounts, and manage banking relationship

Reconcile bank accounts monthly

Reconcile credit card statements and enter into Quickbooks

Send Board Minutes to the membership

Monthly Member Billing - go through member sign in book, NYSEG billing monthly, meals, shooting chits, members services

Review and pay all invoices, sign checks with manager

Receive all payments from members, contractors and record in Quickbooks

Keep records of all Certificates of Insurance for outside contractors

Post office - forward mail to various members during winter months

Inventory Ammo retained in office - sell to members

Inventory Maple Syrup and oversee all sales

Inventory and sell club books and clothing

Emails to membership

Work daily with General Manager – weekly meetings, go over all current events and club issues

Maintain all office files

Personnel:

Oversee Clubhouse staff, scheduling hours, job duties, communication of membership requests, and wages.

Process Payroll weekly for staff members and provide related info to the accountant

Process Monthly Payroll Taxes and Payments

Manage all employee records
