Job Description

ONSITE - LOCATION: DORAL, FL

 

Production Room Associate is responsible for assisting with daily mailing tasks. Inventory upkeep and restocking office kitchens and supplies. Primary backup to our front desk. Assisting with calls, emails, and administrative tasks. Works with Office manager on events and activities. Supports other departments on administrative duties and special projects.

 

Essential Duties and Responsibilities

  • Open, categorize, date stamp, and distribute daily correspondence
  • Work with KWLYNK ticket system, MS Outlook, Jenark program, and FedEx website.
  • Create mailing labels and prepare packages for outgoing mail.
  • Able to work with folding machine and stamp machine to complete daily tasks and mailouts.
  • Answer phone calls, take messages, and forward them to the appropriate person when necessary.
  • Provide callers with information such as company address, directions to the property location, property fax numbers, website, and other related information.
  • Check e-mail and follow-up/reply to messages.
  • Type, make copies, send, and receive faxes.
  • Assist as the primary backup to Reception on absent days, bathroom breaks, and daily lunch breaks.
  • Assist in preparing correspondence that needs to be mailed and/or faxed.
  • Assist Office Manager with set-up and planning of office events such as; holidays, office breakfast and orientations.
  • Track inventory of production room supplies, paper, and coffee
  • Perform other tasks and/or clerical duties as requested by departments and/or Partners.
  • Creation of certificates for all Hospitality training.

 

Work Environment

The work environment will be indoors and will require team members to sit and stand frequently. Low to moderate noise levels in the workplace

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 30 pounds or less. The position requires manual dexterity, auditory and visual skills, and the ability to follow written and oral instructions and procedures. Ability to detect auditory and/or visual emergency alarms. The noise level in the work environment is usually low to moderate.

Position Type/Expected Hours of Work

Schedule will mirror corporate office business hours. Monday through Friday, 8:30 AM to 5:30 PM. Full-Time non-exempt position.

 

Travel

Required Education and Experience

  • High school diploma or GED; some college preferred
  • Bi-lingual English/Spanish may be required
  • Previous experience working in a similar role with computers and software used in an office environment.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write professional and business correspondence.
  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization

 

Position Supervision

Employee reports directly to the Office Manager and is to take direction only from the Manager.
