Job Description
Vernon based Community Management company seeks an Office Assistant. This employee will be responsible for distributing incoming mail to appropriate team members and may be assigned additional supportive tasks based upon interest and availability.
Responsibilities:
- Process electronic and hard copy mailings for the office and Associations.
- Proof communications for errors.
- Receive, respond to and direct incoming calls from owners, Board members and vendors; high volume phone traffic.
- Monitor and respond to emails and voicemails promptly and courteously.
- Data entry.
- Process client clubhouse rentals and payment.
- Process item requests from owners (parking permits, key fobs, etc.).
- Keep work-space and front lobby organized and maintained. Alert Office Manager of l
- supplies and assists in supply stocking and distribution.
- Greeting visitors and receiving/distributing packages as needed.
- Open, sort and organize all incoming mail received by USPS.
- Scan mail to create PDF versions of contents.
- Attach PDFs to email and attach/send to appropriate team members accordingly.
- Process returned mail (submit notice to recipient requesting address update, note customer profile).
- Other duties, as assigned.
Requirements
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Great attention to detail and organization.
- Knowledge of Microsoft products (Word, Excel, Outlook, etc.) at a proficient level.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Interpretation and completion of verbal and/or written instructions at a proficient level.
- Knowledge of general office equipment (copier, fax, phone systems, etc.).
- Knowledge of company policies, procedures, and forms.
- Confidentiality and discretion in the performance of all duties and responsibilities.
- Time management and time-critical prioritization skills.
- Must be a quick study in computer-based programs (training to be provided).
- Must be willing and able to perform in a fast-paced environment.
- Must be a self-starter and able to work independently after appropriate training.
- Must be able to reliably commute to work in-office full time.
- High School Diploma or GED Required.
- 0 - 3 years of directly related or closely related experience.
