Make every effort to assist residents with their issues or concerns and address the residents in a professional respectful manner. Collect money, order supplies, address resident needs, on the phone, via email, and face to face.
Primary Duties /Responsibilities
- Maintain and order office, maintenance, and cleaning supplies as needed.
- Generate Work Orders/Service Request and follow up with residents/staff/owners/property managers.
- Perform housekeeping duties such as straightening up the clubhouse, pool chairs, picking up any trash on the ground/floor and filling paper supplies, water and cups if needed.
- Maintain property files with current information for all tenants, property managers, and owners in the community. Ensure all spreadsheets/databases are up to date with current information.
- Ensure current lease information is on file for all rental properties, ensuring data is current on spreadsheets and databases accordingly.
- Work closely with property managers and owners that lease their properties out to ensure a smooth transition of tenants.
- Email owners / property managers at the beginning of month advising of renewals. Maintain current tenant information, scan/email lease to leasing department, update spreadsheets. Monitor move-out status, removing gate / amenity access at move out. Communication turnover with Envera and leasing department, Remove gate and amenity access.
- Collect and document payments for Gate Stickers / Amenity Cards / Application Fees, maintaining spreadsheet, balancing, and mailing checks to Corporate bi-weekly.
- Maintain contact with outside employees and maintenance staff.
- Ensure security cameras are fully functionable, reporting any issues to management and security company.
- Maintain files and reports on various computer programs such as Microsoft Word, Excel, Power Point, Caliber, Emerge and Quickloader.
- Ensure that the Association follows section 760 of the Florida Statutes.
- Assist Association Manger in collecting bids.
- Issue new barcodes/amenity cards, updating databases and spreadsheets accordingly.
- Work closely with Envera on all gate related items and issues.
- Receive and welcome all visitors by providing excellent customer service.
- Answer incoming calls and manage appropriately.
- Mail out correspondence, and scan documents when requested.
- Any additional duties assigned by designated by management.
