Associa Cares is a national nonprofit 501(c)(3) organization created to assist families and communities in crisis caused by natural or man-made disasters. Through donations raised from Associa employees and at fundraising events across the country, Associa Cares can provide direct financial relief to those affected by these types of tragedies. Job Description

The Program Manager will have the day-to-day responsibility of overseeing the disaster relief program and various office management functions of Associa’s affiliate 501 (c)(3) nonprofit, Associa Cares. The Manager will be part of a small, team-oriented department within Associa’s Home Office in Dallas, TX. They will play a key role in the management and distribution of the organization’s grant aid awarded to disaster relief recipients, including direct and frequent communications with recipients and Associa employees. This position may be hired at a manager level, dependent upon the selected candidate’s experience and demonstrated expertise in key responsibility areas.

KEY RESPONSIBILITIES:

Associa Cares Programs

  • Conduct initial reviews of disaster relief assistance applications received from individuals within 48 hours from receipt
  • Initiate the payment process for approved assistance requests and process the mailing of the assistance checks to recipients
  • Track each recipient’s application lifecycle from receipt for application to award/denial in the organization’s constituent management system (Salesforce)
  • Communicate with applicants regarding documentation needed, notification of award, denial, etc. in a professional and empathetic manner
  • Process and communicate denial notices in a clear and timely manner while demonstrating compassion for each applicant’s circumstance.
  • Track funds administered compared to budgeted distributions and provide monthly reports to the Executive Director.
  • Work alongside the Executive Director to develop and execute various communication strategies to promote awareness of Associa Cares’ disaster relief program.
  • Under the supervision of the Executive Director, liaise directly with Associa branch employees and donor companies to build and promote awareness of the program.

Donations/Fundraising Events

  • Serve as administrative support for the Associa Cares development functions and branch teams, as requested
  • In partnership with accounting, ensure revenue recorded in the constituent management system aligns with monthly financial reports
  • Input donations received into the constituent management system
  • Assist with event material shipments and other fundraising and engagement activations, as requested
  • Work with other team members to ensure donation tax receipts are sent to all donors on an on-going basis throughout the year, in accordance with IRS nonprofit standards.

General Administrative

  • Assist and help to track annual state charitable solicitation registration processing and documentation
  • Process outgoing mail and distribute incoming mail

Requirements

QUALIFICATIONS

  • Bachelor’s Degree required.
  • 3 to 5 years of program/project management experience.
  • Previous experience working with a constituent management system, such as Salesforce or Blackbaud platforms.
  • Previous work or volunteer experience in the nonprofit sector is preferred.
  • Strong attention to detail and the ability to take initiative and ownership of tasks.
  • Exceptional verbal and written communication skills.
  • Deep commitment to superior customer service and solid fundamentals in administrative and basic accounting skills.
  • Ability to effectively and consistently meet deadlines while being adaptable to deal with unexpected issues.
  • Ability to work both independently and in a team setting; creative and thrives in a fast-paced environment.
  • Highly organized, confident, professional, focused, and calm under pressure.
