Job Description
The Project Specialist creates project goals, monitors progress, and schedules meetings to ensure that the project is completed on time.
Collaborates with Maintenance Manager and Director supervising the progress of the work order pathway, managing, or directing projects by applying experience and specialized maintenance knowledge.
The Project Specialist will analyze data, develop projects, and oversee work orders and special projects from start to finish, keeping the project on time to completion.
Project Specialist will work with the Director to analyze and coordinate the schedule, timeline, procurement, staffing, and budget of the product or service. They will lead and guide the work of technical staff. May serve as a point of contact for the resident or vendor.
Under the direction of Director of Facilities, Maintenance Manager, and Assistant General Manager:
Workorder pathway; Open and close, assigning, communicating with residents.
Billing AP and AR.
Vendor Relations; Insurance, work plan approvals.
Requirements
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Knowledge of general maintenance requirements, (documentation, safety, required reporting, regulations, etc.).
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Interpretation and completion of verbal and/or written instructions at a proficient level.
- Knowledge of general office equipment (copier, fax, phone systems, etc.).
- Knowledge of company policies, procedures, and forms.
- Knowledgeable with the Unit Modification Process.
- Time management and time critical prioritization skills.
- Identify and resolve maintenance, materials, supplies, and staffing problems.
- Maintain, update, and plan the schedule, including assigning tasks to staff and hiring contractors.
- Inspect sites regularly, responding to complaints and evaluating status and needs.
- Review, evaluate, and prioritize requests for maintenance.
- Report on activities, budget, supplies, and planned projects.
- Other duties as assigned.
