Job Description

The Maintenance Manager is responsible for overseeing the common element maintenance of the Branch Association. This includes common areas as well as utilities that service the common areas (i.e. elevators, fire systems, alarm systems, etc.),parking garages, building exteriors, and the grounds. Additional responsibilities will include interface and monitor the performance of outside vendors on the property working for either for the Association or the owners. The Maintenance Manager will ensure the buildings and common areas are well kept and that owners and visitors needs are met.

Duties include but are not limited to:

  • Supervise maintenance employees, including assigning daily work, approving schedules, development, hiring and discipline
  • Implement Building Link for the Maintenance department.
  • Add documentation system for all assets as well as projects and repairs.
  • Develop PM list and ensure that PM tasks are completed on time.
  • Train other staff in use of the system
  • Report monthly progress on projects and PM completion rate
  • Update property managers daily on activities, etc.
  • Identify, define and develop scope documents for projects. Secure quotes and work with board to select contractor. Execute and manage contracts through completion. Maintain full documentation on all projects.
  • Maintain list of current annual contracts (i.e., landscaping, sprinkler, etc.). Complete annual review on evergreen contracts, solicit additional bids and recommend any changes to board.
  • Order supplies as needed
  • Serve on the Maintenance Committee
  • Communicate on ongoing and upcoming projects through monthly updates.

Requirements

  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
  • Knowledge of company policies, procedures and forms at a proficient level.
  • Knowledge of State or local governmental safety requirements.
  • Knowledge of general maintenance requirements, (documentation, safety, required reporting, regulations, etc.)
  • Knowledge of electrical and plumbing codes and maintenance requirements, (documentation, safety, required reporting, regulations, etc.)
  • Knowledge of HVAC, including codes and maintenance requirements, (documentation, safety, required reporting, regulations, etc.)
  • Knowledge of OSHA worksite and personal safety requirements.
  • Confidentiality and discretion in the performance of all duties and responsibilities.
  • Time management and time critical prioritization skills.
