Job Description

 

The Maintenance Coordinator serves as in-office support for the field service technicians. This

 

position is responsible for administering the collection and compilation of information for billing.

 

Issuing, scheduling, processing & tracking the completion of work orders. Serve in a support role for

 

the Maintenance Manager with various projects.

 

PRINCIPAL PURPOSE OF JOB:

 

  • Identify opportunities for additional property association maintenance work and build new relationship with customers.
  • Communicate vital maintenance information as it relates to property association managers and other customers.
  • Utilize technology provided including software, mobile devices, email and other resources.
  • Serve as in-office assistance for the maintenance & construction field technicians.
  • Administer the collection and compilation of work order information for billing.
  • Scheduling, dispatching, processing & tracking the completion of property association work orders.
  • Administer Fleet documents and records.
  • Schedule special construction & maintenance projects.
  • Answer and be conversant in construction/maintenance items related to customer service calls, reviewing work papers, scheduling work orders and general support of a field service team.
  • Proficient in helping create cost proposals for maintenance and construction projects.
  • Review monthly financials and complete required reports to better understand key performance factors within the department.

 

ESSENTIAL JOB FUNCTIONS (Other Duties May Be Assigned)

 

  • Knowledgeable in residential maintenance and or construction for single/multifamily dwellings.
  • Work with property association managers developing trust and driving work orders to in house maintenance.
  • Receive maintenance related work orders from property association managers.
  • Input maintenance work orders into work order management software.
  • Create daily schedule for Maintenance Techs.
  • Communicate schedule and completion of work orders with property association community managers.
  • Assist in maintaining group email boxes
  • Identify and Issue maintenance work orders to technicians.
  • Receive and understand work order completion notes from technicians.
  • Dispatch After hour emergencies on a rotating basis
  • Track the completion of work orders.
  • Provide property association managers with status and completion updates for open jobs.
  • Enter & close out work orders in a work order management system.
  • Skilled in scheduling property maintenance inspections.
  • Track documents and maintain records for fleet.
  • Act as the scheduling manager for large projects.
  • Assist with miscellaneous projects.
  • Take maintenance related calls.
  • purchase supplies as necessary
  • local travel to meet managers and vendors on properties
  • attend afterhours board meetings

Computer Skills

 

  • Must have working knowledge of Microsoft Word.
