Summary

The Mailroom & Facilities Assistant handles incoming/outgoing and interoffice mail (using both manual and automated methods). May have job duties outside the mailroom and may be assigned to special projects on an as needed basis. Other job duties include but are not limited to: ordering and storing office supplies, working with vendors, emailing/corresponding about completed projects, photocopying, data entry, retrieval of packages and storage boxes.

Incoming/Outgoing Mail

  • Process outgoing mail – weighing mail and affixing postage either by hand or with a meter.
  • Process mailers (including copying, folding, stuffing, labeling and posting).
  • Prepare volume mailings such as budgets and annual elections by folding items and inserting them into envelopes by hand or operating automated equipment.
  • Work with print/mail vendors to process mailings, following procedures..

Special Services

  • Process all incoming and outgoing envelopes and packages from services such as United Parcel Service, Federal Express, and any overnight delivery, and courier.
  • Stock office supplies in mailroom and at printer stations.
  • Order and distribute supplies to employees.
  • Ensure all copy machines are loaded with paper at 8:00 a.m., 1:00 p.m. and before you leave each day.
  • Stock office forms in mailroom as needed.
  • Straighten up conference rooms and kitchens twice a day.
  • Change toner in all printers throughout office (as needed).
  • Scan/print documents for staff when needed.
  • Drive outgoing mail to post office when needed.
  • Maintain service records for all scanning and duplicating technology.
  • Support the reception area in retrieving packages
  • Set-up service equipment responses and manage technicians.
  • Clean breakroom refrigerators weekly.
  • Stock breakroom supplies, organizing and cleaning as directed to keep areas organized.
  • Setup and tear down of tables/chairs in support o special events at the corporate office.

Requirements

Knowledge, Skills and Experience:

  • Knowledge of Pitney Bowes postage and Xerox copier equipment a plus.
  • Print production knowledge a plus.
  • Must have the ability to define problems and collect relevant data, establish facts, and draw valid conclusions.
  • Must be detail-oriented with experience working in a fast-paced working environment.
  • 1-2 years of experience working in a mailroom, print production or similar environment.

Minimum Education

High School Diploma or equivalent.

AA Degree preferred

Language Skills

The individual must have strong written communication skills, and the ability to communicate effectively with employees and clients at all levels of the organization, both orally and in writing.

License/Permits/Certifications Required

Must have a driver's License and an excellent driving record.

Availability

24 hours a week- 3 days from 8 a.m. – 5 p.m

The work environment is a typical office building.
