Job Overview
The Lifestyle Coordinator will create and coordinate high quality activities/events/programs designed to promote resident’s socialization, education, physical and mental well-being, and fun! The coordinator will also assist in the administration and communications related to these activities and general Association business. They will work closely with everyone in the community, staying professional, upbeat, and positive. A competitive approach and executing follow-through of the essential and secondary tasks and responsibilities is critical to meeting the needs of residents.
Requirements:
Primary Responsibilities
- Planning and executing activities, events, and programs. Number of activities/programs/events per day, per week to be determined. Keeping activities and events fresh, innovative, and achieving resident participation. Maintaining open communication including Resident Surveys and Activity Questionnaires.
- Supporting resident led activities, groups, and clubs. Encouraging resident socialization and participation to promote a positive community environment. Participating in activities and events when possible.
- Assists EEC (Entertainment and Events Committee) in purchasing and coordinating any items required, maintaining an inventory checklist of all supplies and materials. Providing input into the development of budget(s) as it relates to planned events and activities.
- Understanding and applying safety, security, and emergency procedures.
- Maintaining participation and attendance records for each activity or event instance, when possible, for future planning and budgeting.
- Taking photographs whenever possible for use in social media, newsletters, and videos.
- Assist with the creation and producing the monthly calendar with activities and events. Maintains clubhouse calendar on all club meetings and use of rentals.
- Contributes to the website content, newsletters, and other communications as needed.
- Handling vendor contracts for shows. Uploading contracts to website.
- Oversees and process invoices from sponsorships, events, and vendors.
- Assists in scheduling and hosting new resident meetings to assess interests and community living goals.
- Recruiting and training volunteers from within the community to participate and assist with events, activities, and clubs. Managing the volunteer schedule for consistent and equal participation by all that would like to participate.
- Assisting with interviewing process and making recommendations for qualified and certified instructors and local, licensed transportation companies.
- Creating partnerships with residents, vendors, businesses, and organizations to enhance lifestyle programs.
- Working hours vary and will include weekday, evening, and weekend hours.
Other Responsibilities
- Greeting everyone in a welcoming, professional manner.
- Demonstrate exemplary customer service, communications, and people skills as a daily onsite presence and an additional point of contact for the members.
- Answering inquiries promptly and professionally. Gathering information, answering questions or requests, and/or channeling to the appropriate destination.
- Maintaining spaces in an organized, neat, and clean manner.
- Becoming knowledgeable of the community and other policies to assist residents as needed.
- Assists other departments as directed by the Community Association Manager (i.e., daily incoming phone call support). Cross-train administrative functions and overall, HOA (homeowners association) policies, procedure, and rules to support the administrative office.
- Assisting with all other duties as assigned.
Qualifications
- Requires any combination of education and experience equivalent to a High School Diploma.
- Previous experience coordinating events and conducting group activities and trips: 1 year (Preferred)
- Customer Service: 1 year (Preferred)
- Experience working with senior population or other special population preferred.
- Proficiency with Microsoft Office and other computer applications.
Physical Requirements
- Constant use of manual dexterity, auditory and visual skills, and gross motor skills with frequent use of bi-manual dexterity and fine motor skills.
- Ability to follow written and oral instructions and procedures.
- Ability to reach, bend, twist, squat, kneel, push, and pull.
- Ability to lift/carry up to 30 pounds.
- Ability to perform repetitive movements including simple grasping, pushing, pulling and fine manipulation.
- Sitting, standing, walking, typing, cleaning.
Qualifications

Working Conditions
This position typically operates in a professional office environment. Must be able to work day or night shifts and some weekends while events are held.
