Lead Concierge Job Description

POSITION SUMMARY: This position provides information to resident inquiries and coordinates all Concierge related resident requests for special arrangements or services, courteously and efficiently. Our Team Members have the opportunity to shape our residents’ experience by providing exceptional knowledge and service in support of our unparalleled One Thousand Museum service culture.

POSITION TYPE/EXPECTED HOURS OF WORK:This is a full-time non-exempt (salary) position. Days and hours of work will be determine based on the business needs of the property. This schedule may change to accommodate the business needs of the property. The current schedule requires this position to work Tuesday through Saturday.

Requirements

OSITION RESPONSIBILITIES:

  • Works harmoniously and professionally with co-workers and supervisors.
  • Assures that desk collateral and information for restaurants, museums, attractions, maps, and other local attractions are updated and current.
  • Knows what activities are available in the city (theatre, sports, concerts, shows, special exhibits, sightseeing) and establishes close contacts with vendors in these areas in order to provide information, ticketing, and reservations for residents.
  • Handles all Concierge requests & itineraries: restaurant reservations, transportation requests, floral arrangements, balloon & decoration requests, laundry, vendor recommendations, dog sitting & grooming, babysitter recommendation, tutors etc.
  • Assists Residents with setting up their FPL, dry cleaning & Hotwire accounts in the unit.
  • Organizes team appreciation events to include employee of the quarter, birthdays and anniversaries.
  • Checks amenity inventories to ensure they are fully stocked and inspects cleanliness.
  • Replenishes supplies for media room, breakfast, and all amenities.
  • Organizes weekly carwash. Keeping track of reservations and assisting with payment details.
  • Sources and meets vendors to be able to recommend them to Residents.
  • Assists Curator of Hospitality with special events.
  • Assists in the creation of the monthly newsletter.
  • Ensures that the telephone is answered properly, and messages are handled courteously, accurately and in a timely manner.
  • Ensures that emails are responded to within 24 hours.
  • Maintains, updates, and coordinates resident information in computer database on a daily basis.
  • Manages Receiving activities to include processing deliveries, vendor requests and move-ins/outs, keeping track of vendors’ Certificates of Insurance and scheduling all activities in the management database.
  • Follows safety procedures and maintains a safe work environment.
  • Other duties as required.

OPERATING SKILLS, KNOWLEDGE & ABILITIES:

Education/Training:

  • Associates degree with concentration in hospitality, or equivalent combination of education and experience.

Experience/Knowledge/Abilities:

  • Must possess strong hospitality/Concierge background.
  • Three (3) plus years of related work experience in a luxury hospitality environment.
  • Two (2) plus years of traditional Concierge experience (assisting with personal services such as restaurant reservations).
  • Strong working knowledge of customer service principles and practices.
  • Self-starter with excellent communication, office management, interpersonal, customer service and telephone skills.
  • Excellent listening skills in order to interact with a diverse and multi culture population.
  • Ability to withstand stress and work under pressure.
  • Ability to prioritize work with minimum supervision.
  • Must function in team organized environment.
  • Bi-lingual preferred.

Computer Literacy:

  • Intermediate proficiency in Microsoft Windows software. Property Management’s software, Vertilinc, a plus.

Special Requirements:

  • Physical demands include ability to lift up to 20 lbs.
  • Standing, sitting, reaching, bending, kneeling and walking.
  • Required to work at a computer for extended periods of time.
  • Talking on the phone for extended periods of time.
