Job Title: Admin Helpdesk Specialist
Job Summary: The Admin Helpdesk Specialist is responsible for providing basic technical support and administrative help to keep various platforms and systems running smoothly. This role includes updating website content, fixing IT-related issues, and improving user experience. The position also involves working closely with third-party vendors, team members, and leadership. The ideal candidate will demonstrate strong problem-solving abilities, attention to detail, effective communication skills, and a proactive, initiative-driven approach to resolving user issues and managing operational needs.
Reports To: Director of IT
Key Responsibilities
- Support the ongoing maintenance, management, and updates of platforms such as Vantaca, Stan AI, Enumerate, and similar systems.
- Offer IT and website support to team members across various platforms.
- Assist with resolving basic hardware, software, and network issues to reduce downtime.
- Work with third-party vendors to ensure data backups and warranty.
- Set up hardware and configure devices for new employees, including setting up user credentials and access permissions.
- Assist with portfolio updates across multiple regions, ensuring accuracy and timeliness.
- Organize and maintain system files on platforms like OneDrive and others, ensuring proper structure and easy access.
- Conduct regular audits of all platforms, identifying areas for improvement and ensuring compliance with best practices.
- Ensure necessary system integrations are properly implemented and assist with platform transitions when required.
- Ensure prompt follow-ups and completion of outstanding tasks.
- Submit weekly progress reports as required/requested.
- Occasional travel to onsite communities and regional offices is required, with mileage reimbursement provided.
- Take on and provide support for special projects, contributing to specific tasks to help achieve project objectives and deadlines.
- Additional duties assigned.
Qualifications
- Familiarity with property management and property management software.
- Experience in website administration and basic IT support.
- Knowledge of basic website design and management.
- Proficiency in setting up and troubleshooting hardware, software, and network issues.
- Experience with remote troubleshooting.
- Strong communication skills.
- Ability to work both independently and as part of a team in a fast-paced environment.
- A proactive and adaptable mindset, with the ability to take initiative in resolving issues and handling requests.
- Open to receiving constructive feedback and committed to continuous learning and improvement.
