Description
Position Summary:
Responsible for processing all title company requests for homeowner account status on properties with an opened escrow account. Ensuring all requests are processed accurately and within the maximum time allowed by the State.
Position Responsibilities
- Process all title companies’ request for account status, updates, refinance, rushes and general request on properties with an opened escrow account due to pending sale or refinance in accordance to State law guidelines.
- Partners with title companies to research account status, provide account updates and supply governing documents to all homeowners.
- Conducts a search on accounts for past due amounts, violations and liens.
- Provides statement to title company outlining account information including any transfers/disclosure fees.
- Set up accounts for new owners.
- Prepares for all prospective homeowners a disclosing letter that details assessments, additional fees (that may apply), outstanding violations on prospective property, current financials, insurance information, current budget and governing documents.
- Provides title companies with updates regarding account information on a daily basis.
- Provides customer service to title companies.
- Perform peer review of statements and letters for accuracy.
- Assists Department Manager by updating procedures for the position when needed.
- Performs other related duties as directed.
Knowledge, Skills Abilities
- Knowledgeable with computer software (Excel, Word, company database).
- Ability to multitask, and prepare and process large amounts of title company request items while being detail oriented.
- Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
- Exceptional organization and tracking skills.
- Ability to function efficiently in a high volume, fast-paced environment.
- Ability to proficiently utilize computer programs and company database systems, including Microsoft office, internet and e-mail systems.
- Ability to interact and work positively and effectively with staff at all levels.
- Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
- Ability to work collaboratively and cooperatively within the department as well as with other departments.
Physical Demands & Work Environment
- Sitting in an office setting utilizing a computer and other office equipment.
- May be required to lift boxes, fill paper trays, and other minor physical office related tasks.
