Description
Position Summary:
Primarily responsible for providing assistance to the Assistant General Manager at the Corte Bella Country Club, active adult property which includes providing administrative support, communications through eblasts, newsletters etc., customer service, and working recreational, social, cultural, and educational lifestyle events.
Position Responsibilities
Perform a wide spectrum of administrative duties that are essential to successful community operations is support of and directed by the Assistant General Manager, to include, but not limited to:
- Set up new resident memberships and account log-ins, issue welcome letters.
- Process resident applications to the Architectural Review Committee, to include but not limited to screening submittals for missing information, coordinating application process with Community Manager and Committee, and preparing approval/denial letter to applicant(s).
- Assist in the ongoing maintenance of the community website.
- Preparation of monthly debit card statements and miscellaneous notices, eblasts, etc.
- Provide traditional office support by composing correspondence, creating/maintaining database information, and maintaining accurate and current association records.
- Extend top-notch customer service and problem resolution via phone, email and face-to-face interaction with residents, vendors and community volunteers.
- Attend Board and committee meetings as requested.
- Perform other duties as directed by the Assistant General Manager.
- Perform a variety of lifestyle-related duties that are essential to successful community events in support of and directed by General Manager and Assistant General Manager, to include, but not limited to:
- Regularly attend and participate in the execution of community events to help ensure facilities, food, activities, entertainment, and customer service meets the needs of the residents.
- Prepare miscellaneous flyers and advertisements for events and presentations as requested.
- Assist with monthly newsletter preparation process.
- Assist with maintenance of community room calendar.
Knowledge, Skills And Abilities
- Time management: the ability to organize and manage multiple tasks simultaneously with frequent interruptions, establish priorities, and meet deadlines while being detail oriented.
- Ability to proficiently utilize office equipment (copier, scanner, printer, etc.), computer programs and database systems, including Microsoft Office, internet and e-mail systems.
- Effective interpersonal and verbal communication skills paired with high energy, initiative, and enthusiasm.
- Good written communication skills.
- Good reasoning skills with the ability to problem solve exercising good judgment and decision making.
- Able to recognize and adjust to change.
- Superior customer service skills and phone etiquette.
- Team player with ability to work collaboratively and cooperatively within the department as well as with other departments
- Lifestyle enthusiast, comfortable organizing and/or directing a volunteer labor force.
Minimum Requirements
- High school diploma or GED and three (3) years of full time, paid, professional experience working in an administrative support role within an office/customer service/recreation environment. Ability to successfully complete employer-paid ABC Basic Liquor Law training and an employer-paid AED/CPR certification w/in 45 days of hire.
Preferred Qualifications
- High school diploma or GED and ) year of full time, paid, professional experience working in an administrative support role within an HOA, Property Management, Hospitality Management or 55+/Active Adult environment.
Physical Demands & Work Environment
- Position involves sitting, standing, and movement throughout the day.
- Utilizing a computer in an office setting.
- Capable of working evenings, weekends and some holidays.
- Physically able to work indoors or outdoors in varied weather conditions.
- Help setting up and breaking down chairs, tables, etc. necessary for community events.
- Ability to lift objects (up to 15 pounds).
