Job Description
The HOAAdministrative Supervisor oversees bookkeeping and administrative workflow for the communities associations we serve.
Daily responsibilities:
- Maintain timesheets for bookkeeping department.
- Enter, update, and remove communities and community managers in the AP software.
- Support and cover for the AP & Administrative Assistant when they are out.
- Send out Morning News & maintains schedule for managers.
- Manage HOA Coupon Requests.
- Locate unknown checks for Bookkeepers.
- Manage HOA Taxes and HOA Audits.
- Review refunds for processing.
- Enter community Fee, Charges, & Current Property Values.
- Assist customers and respond to Roll Over Calls.
- Support various bookkeeping department tasks, such as Lead Sheets, Welcome Letters, Copy Settlement Checks, Post Assessments.
- Processes Friendlies and Temporary Coupons
- Cover for all Bookkeeping staff when they are out.
- Other duties as requested.
Requirements
- 2+ years of office administration and billing experience.
- Administrative experience from a Community Association is highly desired, not required.
- Customer focused, service driven, and team oriented.,
- Reliable and dependable with attention to detail and ability to meet time sensitive deadlines.
- Well versed in Microsoft Office Products.
- Excellent communication skills, written and spoken.
- Self motivated, proactive, and show initiative.
- Time management and time critical prioritization skills.
