Action Property Management, the leader in community management, is seeking a full-time Front Desk Supervisor to join our team at our luxury association, Union House, located in San Francisco.

The Front Desk Supervisor is responsible for the oversight, training, and development of the Front Desk Staff. The Front Desk Supervisor is responsible for the tracking of all guests, deliveries, and vendors that come to the property and ensuring that all have proper approval from Residents and/or Management to enter the premises.

Job Responsibilities

  • Initial point of contact for the front desk staff.
  • Assist IT with the maintenance of all the computers used by the Lobby Attendants and Management.
  • Responsible for any disciplinary actions that need to be taken with the Lobby Attendants.
  • Utilize software systems in order to contact Residents to announce guests, vendors or deliveries.
  • Assist Residents with problems or issues that do not need direct Management involvement.
  • Conduct periodic inspections of the parking garages, Terrace Level, and perimeter of property to ensure all areas are properly secured; report any issues to the appropriate party for follow up.
  • Document reports of disturbance that occur, evaluate the situation and contact the proper authority (i.e. Police, Fire Department, Building Engineer, Management) to resolve problem.
  • Document the acceptance of parcels (or other deliveries) by denoting the package log and completing the appropriate notification for the Resident.
  • Notify the proper Resident when a parcel has been accepted on their behalf and have Resident sign the package log when they receive the parcel.
  • Coordinate deliveries to and from units.
  • Maintain and monitor an adequate inventory of supplies, forms, etc. used by the front desk and promptly notify Management when in need of replenishment.
  • Maintain the appearance of the front desk by making sure that it is organized and clean at all times.
  • Monitor security cameras and systems; report abnormal circumstances to Management or Law Enforcement and document detailed entries on the appropriate Management Report.
  • Monitor Fire Alarms
  • Maintain the appearance of the Main Lobby, Main Elevator Lobby and front of building by summoning the janitorial staff when needed or in the absence of janitorial staff perform such tasks as sweeping, mopping, etc. in the event of any sudden spills or accumulation of dirt.
  • Respond to any reports of nuisance by Residents and resolve appropriately; document details on the appropriate Management Report.
  • Report any non-compliance issues to Management; if applicable, politely call to the attention of the offending party the non-compliance and ask that it be resolved as quickly as practical.
  • Training of all Lobby Attendant Staff on the front desk procedures.
  • Buzzes in Residents and guests at access controlled entrances when necessary.
  • Must be familiar with all emergency procedures and assists with training of personnel on all evacuation and emergency procedures.
  • Directly interacts and coordinates with contractors, moving/storage companies and any other vendor to assist Residents.
  • Report on a daily basis any minor building and amenity deficiencies in writing to the Management.
  • Maintain an up-to-date hard copy of forms used to acquire Resident information and emergency procedures.
  • Maintain and keep a ready supply of all new homeowner orientation materials.
  • Review and be familiar with the Association’s Governing Documents, CC&R’s and the Rules and Regulations of High Rise for compliance by Residents and guests.
  • Utilize Microsoft Word, Excel and Power Point, and various additional PC-based programs in the conduct of daily duties. Utilize Internet only when necessary to research any issues related to duties.
  • Receive phone calls from Residents and homeowners regarding complaints and forward them to the appropriate department to resolve the problem.
  • Return and answer calls (i.e. requests for keys, general association questions).
  • Retrieve all messages on voice mail daily, and either respond, or direct messages to appropriate department.
  • Assist Manager with other duties, as requested, to insure smooth operation of Association.

Required Skills / Abilities

  • Proficiency in telephone answering, MS Word, Excel, and data entry. Ability to communicate concisely, orally and in writing.
  • Ability to work independently in absence of supervision.
  • Ability to work in a dynamic environment with potential for changes in responsibilities and priorities.
  • Ability to properly interpret and make decisions in accordance with the Association’s governing documents.
  • Ability to oversee the Lobby Attendant Staff and provide constant feedback, coaching and mentoring as necessary.
  • Ability to work cooperatively with Management Staff, fellow employees, contractors, vendors and a diverse group of Residents and guests.
  • Ability to exercise good judgment, take initiative, demonstrate flexibility and respond quickly to changing situations and business needs. Willingness to work overtime as required.
  • Thorough knowledge of Action Property Management policies and procedures.
  • Adherence to dress code and code of conduct.
  • Ability to interface professionally with all Residents, Management and colleagues.

$31 - $33 an hour

Compensation: $ 31.00- $ 33.00 Per Hour

Schedule: Monday- Friday; 6:00 AM- 3:00 PM
